Energy Oasis is a renewable energy management consultancy going through a considerable period of growth.
Our team is expanding, and we need some general administration support in our office in Central Harrogate. The role is ideally full time, Monday - Friday, 9-5:30
**Overview of the role**
To support the HR & Finance Manager, Project Managers and the MD in administrative tasks and provide excellent customer service to our clients. The role will include elements of technical awareness, data processing, and general admin. You will need to be able to speak with clients who often have challenging and time critical requirements.
**Main Duties**
**Admin**
- Interacting with clients by phone and sometimes face to face, acting as the first point of contact for enquiries.
- Answering phones, transferring calls, taking messages and passing them on, doing call backs for first enquiries
- Making travel and hotel arrangements for selected staff
- Preparing documents ahead of meetings, checking typos and layout, printing and binding
- Collecting and sorting post
- Circulating agendas ahead of meetings where applicable
- Participating in office meetings and taking minutes
- Follow up action points from meetings to make sure deadlines are met
- Keeping CRM and databases up to date
- Manage the MD’s diary and remind of important tasks and deadlines, organise MD’s meetings/appointments/travel time
- Helping to maintain office standards and supplies
**Projects**
- Supporting project managers in the production and maintenance of project plans, producing Gantt charts, payment schedules and diary planning via Outlook and Teams - circulating this to the necessary stakeholders
- Maintaining the projects’ document library in Teams. Adding photos, plans, quote spreadsheets in a timely fashion - version control.
- Ensuring that RAMS, security clearances and inductions are complete and shared with the necessary people before workers are on site
- Ensure subcontractor/supplier information is kept up to date and insurances, NDAs, contracts remain valid
**Finance**
- Entering quotes, invoices and purchase orders to Xero
- Updating sales spreadsheets
- Inputting expenses into Dext
**Job Types**: Full-time, Permanent
**Salary**: £22,000.00-£26,000.00 per year

**Education**:
- GCSE or equivalent (preferred)
