**Job overview**:
An exciting opportunity has arisen in the Surgery Division to join an established and fun team at Ropewalk House, as a full-time Outpatient Administrator. This role is an essential member of the multi-disciplinary team to ensure our patients are dealt with as smoothly and efficiently as possible.

**Main duties of the job**:
Normal office hours are 8am - 430pm.

General duties include:
The post-holder will work closely with the clinical team to deliver quality care to assessment and post-op patients. You will be adept in understanding and relaying information, dealing with patient & clinician queries and ensuring patient data quality and accuracy.

The post-holder will provide administrative support to the Nottingham Auditory Implant Programme, booking patient appointments, chasing patient information/reports, providing typing support, minute taking, dealing with enquires (via telephone and in person), processing referrals and require to have a high level of use of the hospital computer and IT systems.

As a caring and positive person you will need to be able to work as part of team, have the ability to prioritise workload and be committed to ensuring the smooth running of an often busy administration office. Priorities are ever changing and a problem solving approach is desired for such role.

- Be responsible for arranging partial booking follow up appointments.
- Reduce and cancel clinics
- Arrange transport as necessary
- Ensure Referral to treatment patient data quality is accurate at all times.
- Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.
- Ensure all referrals are logged and booked in a timely manner meeting the standards in the NUH Access Policy.
- Print appointment/procedure confirmation letters as necessary and send to patients with the relevant information leaflets promptly.
- Keep personally updated and be able to advise patients in relation to peripheral services available, i.e. transport, interpreting services etc.
- Distributing and opening in-coming mail timely and dealing with appropriately.
- Be able to competently use Medway PAS and other information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.
- Maintain tidy, safe working environment, reporting any hazards or faults timely and appropriately**_.

**Essential criteria**:

- Educated to GCSE or equivalent including GCSE English (C)
- NVQ Level 3 or equivalent in administration or similar

**Desirable criteria**:

- To possess 5 GCSE A-C including English & Maths or equivalent

**Experience**:
**Essential criteria**:

- Experience in an office environment
- Experience of MS Office
- Ability to use judgement to make decisions in order to solve problems / enquires

**Desirable criteria**:

- Knowledge of Outpatient Work
- Knowledge of hospital IT systems

**Salary**: The quoted salary will be on a pro rata basis for part time workers.
