**About the role**:
We have a fantastic new opportunity for a **People, Wellbeing and Engagement Assistant** to join our amazing colleagues and to work directly with the Head of People and Culture. This role has a number of exciting responsibilities which include providing a comprehensive and efficient first line HR/ People administrative service for example: recruitment, training records, attendance recording, accurately logging sick leave and annual leave, payroll changes and maintaining the accuracy of our employee database. An important part of this role will be to ensure smooth communication and prompt resolution of requests and questions. Also, the role will take an active responsibility for overseeing the health & safety of our office facilities, arranging and supporting our colleagues through various wellbeing and engagement initiatives and activities to promote work-place health and positive mental wellbeing.
**Key People Responsibilities**:
- Maintain the People Handbook to make sure it is updated in line with legislative changes and to arrange the communication of the handbook to our wider colleagues.
- Provide occasional administration support to employee relations cases e.g. taking minutes, arranging meetings, liaising with the parties involved.
- Assist with queries from both external contacts as well as our colleagues; undertake routine correspondence regarding HR/ People queries, processes and procedures.
- Support the introduction and development of efficient HR/ People administrative procedures, ensuring they are consistent, accurate and effective.
- Maintain the HR database (Breathe) ensuring that staff records are kept up-to-date and regular audits of the accuracy of information are undertaken as required, rectifying any minor discrepancies wherever possible.
- Assist with the accurate information for payroll and provide such information to the Head of Finance in time for the monthly payroll run.
- To attend meetings as required and to take accurate minutes ensuring they are well documented and recorded.
- To administrate the appointment of new colleagues and to guide them through the appointment/ new-starter process. Plan and undertake new-starter inductions; guiding new colleagues through a comprehensive induction process.
- To undertake the administration for leavers; checking details such as annual leave, clarifying queries, preparing written acknowledgements, arranging exit interviews, updating the HR system, liaising with the manager and with payroll.
- Administer the absence reporting process including inputting absence data onto Breathe, ensuring that records for colleagues returning from absence are accurately recorded and Return to Work meetings are arranged and undertaken. Notify the Head of People and Culture should any ongoing medical support be identified & required.
- Accurately record staff absence, bringing to the attention of the relevant manager and Head of People and Culture any cases where absence exceeds acceptable levels or is a cause for concern.Key Wellbeing and engagement responsibilities:
- Using effective regular communication approaches through a variety of creative and engaging media, to ensure our colleagues remain fully informed of all news, updates and announcements regarding Learna. Create a Colleague Newsletter
- Arrange and coordinate key organisation events, for example, our colleague Christmas away-day & party; Summer BBQ; family park day etc
- Arrange and coordinate charity events, for example: Children in Need; support an annually nominated charity.
- Be creative Organise an annual calendar of engagement initiatives ensuring a range of activities to encourage everyone to feel included, eg: quizzes, book club, colleague bake-off, sport events, shopping trips, departmental challenges, job swaps etc
