**While the office is based in Cardiff, the position offers the flexibility of hybrid working.**
**Your key responsibilities**:
- General executive administration including managing the Directors diaries, booking internal and external meetings, travel and accommodation
- Coordinating the Directors activities, correspondence and communication, organising and prioritising accordingly
- Being the first point of contact for the Executive team
- Producing documents, briefing papers, reports and presentations
- Ensuring the management team is well-prepared for meetings
- Co-ordinating flow of information e.g. production/collation of board/management meeting packs
- Preparing agendas, notices and take minutes
- Screening enquiries and requests, and handling them when appropriate
- Carrying out business research on behalf of Executive team and presenting findings
- Carrying out specific projects and research
- Organisation and maintenance of office supplies, stationery and equipment
- Liaising with/acting as facilities management including cleaning, utilities and security services
- Maintaining office policies and managing health and safety procedures
**Your skillset and experience**:
- Advanced knowledge of Microsoft Office Word & Outlook
- Working knowledge of Excel & PowerPoint, with good presentation skills
- Excellent organisational and diary management skills
- Work accurately and effectively under pressure
- Ability to prioritise and manage own workload to meet deadlines
- Act with discretion, confidentiality and personal sensitivity in all aspects of the role
- Able to quickly establish rapport with management and staff at all levels
- Communicate effectively at all levels, internally and externally; written and spoken
- Ability to work on own initiative and use own judgement to problem solve
- Maintain a positive, professional and proactive approach; articulate thoughts and ideas in a manner which instils confidence in others and build relationships at all levels across the business and external contacts
