In the Administrative Assistant Operations job, you will be:
- Providing secretarial support at meetings; minute taking, booking venues, liaising with attendees, producing and distributing agendas, minutes and action plans
- Maintaining and monitoring a confidential electronic filing structure and document retrieval system
- Collating departmental reports, word processing, creating, maintaining and preparing documentation and spreadsheets for various tasks within the operations department and distributing to the relevant personnel
- Dealing with correspondence, handling telephone calls, photocopying, laminating, and processing both internal and external mail
- Using financial systems to input orders and receipt goods and taking delivery of goods from external suppliers, cross-referencing against orders placed
- Preparing and maintaining annual electronic rotas and attendance records for operational staff, including; course dates, annual leave, time in lieu, cover, and updating personnel with rota changes
- Any other duties commensurate with qualifications and experience, which are reasonably within the scope of the role
To be considered for the Administrative Assistant Operations role, you will have:
- Previous administration experience
- NVQ level 3 or equivalent qualification in business administration or possess an equivalent amount of proven experience
- Intermediate IT skills; Microsoft Word, Excel, Outlook and Access, plus evidence of an ability to utilise IT databases
- Prioritisation skills; working to deadlines and responding positively under pressure
- An ability to work as part of a team or independently using own initiative
- Excellent time management skills and interpersonal skills
- Good numerical skills
This is a permanent vacancy, working 37 hours per week, Monday to Friday. The role will be based at the Rhyl Community Fire station, although a blend of agile working will also be available.
In return, you’ll receive a salary of £21,695 to £22,571 per annum PLUS employee benefits and training opportunities.
