An opportunity has arisen for a Secretary/Administrator to join our administration team working for the CCETT (CAMHS Crisis & Enhanced Treatment Team). This role will be supporting the multi-disciplinary team in Child & Young People’s Services who are countywide therefore base is negotiable. The post is for 37.5 hours a week working Monday to Friday 9am - 5pm. Flexible working is required as the service may start to reintroduce a late night opening until 20:00 in hubs one day a week which requires local admin cover on a rota basis. In times of need, cover may also be required at our bases across the county or for holiday and sickness cover.

The main responsibilities of the role will be to provide a high standard of administration support working alongside and supporting the clinical team including medical staff, Team Coordinator and Lead Administrator to deliver high quality patient centred care. Duties will include processing and helping to manage referrals received for the team and recording the referral onto our clinical system as well as supporting with data quality work working through housekeeping reports.

To provide administration duties to support CCETT (CAMHS Crisis & Enhanced Treatment Team), primarily supporting the multi-disciplinary team alongside supporting the wider CCETT team and Child & Young People Teams.

To undertake taking notes of internal/external meetings, typing of correspondence and reports to support the team, gathering information and inputting data accurately also scanning of documents onto our clinical system as appropriate. This will also include monitoring data and assisting with reporting and supporting with bed management coordination ensuring good communication flows both internally and externally to the Service and the Trust.

- To respond to queries and incoming calls on a daily basis, which may be non-routine and can sometimes involve information of emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations, and seeking further information/support where required.
- To manage own workload seeking advice when required, performing routine office procedures including, typing, and producing letters, producing basic reports ensuring all correspondence is produced to an accepted standard of quality and accuracy.
- To ensure essential paperwork and policies within the team are kept up to date, informing staff of changes and new policies.
- Assist in scheduling appointments/meetings using the diary management system in outlook, make room bookings and maintain the room booking diary.
- Assist in the stock control and electronic ordering of all office equipment and stationery; and the subsequent electronic receipting of all received supplies.
