**The Role**:
As Administrative Coordinator at Flair Gymnastics Club, you will play a vital role in supporting the day-to-day operations. This hybrid position offers flexibility, working both from home and on-site. Once trained, you will have sole responsibility for the club’s administration, making this a high-pressure role that involves working to frequent deadlines. You’ll manage staff rotas, handle wages, maintain accurate records, and provide essential administrative support to the management team. You will report directly to the management and trustees of the club.
**Key Responsibilities**:
Staff Administration
- Carry out monthly payroll, HMRC & pension submissions, ensuring accuracy & timeliness in all payments.
- Manage employee annual leave & cover requests.
- Update & maintain the club’s staff contracts, ensuring all details stay current.
- Coordinate staff rotas to ensure smooth scheduling across all departments.
**Class Management**
- Ensure all registers are completed for all classes and respond to regular non-attendees.
- Offer trials to our waiting lists when places become available in classes.
- Send joining information to new members accepting their places.
- Carry out internal transfers & movements between classes as necessary.
- Handle cancellations and communications with parents leaving the club.
**Membership**
- Ensure that all club members complete their annual payments.
- Maintain an accurate record of current members on the governing body system.
- Monitor staff qualifications and action any updates required.
- Administer the renewal process each Aug-Sept.
**Finances**
- Ensure all fees are received & checked each month, and respond to any payment issues.
- Administer any refunds required for class cancellations or events.
- Update & maintain the club’s monthly accounts spreadsheets and financial projections.
**Communications**
- Action any information posts or communications required about classes or events.
**Operations**
- Assist with day-to-day club operations and be present for face-to-face inquiries during operating hours.
- Support the management team with relevant administrative and operational tasks.
- Keep an inventory of club kit & clothing and manage the store room effectively.
- Organise quarterly kit orders for kit & club items and liaise with suppliers.
- Ensure all staff have appropriate uniform for their roles.
- Handle communications with coaches, parents, and external stakeholders.
**Requirements**:
- Proven experience in an administrative role.
- Strong organisational skills with extreme attention to detail.
- Ability to manage wages and rotas efficiently.
- Quick learner who is adaptable and able to work independently.
- Strong communication skills, both written and verbal.
- Experience in a sports or club environment is preferred, but not essential.
- Able to work under pressure and meet frequent deadlines.
- A full PVG check will be conducted before employment.
- Safeguarding training with Scottish Gymnastics must be attended.
**Working Hours**:
35 hours per week with flexible days and times; minimum 3 days on-site during operating hours.
