A rare and exciting opportunity has arisen for an enthusiastic and highly motivated individual to join the Corporate Governance Team in a critical role as Corporate Receptionist and Administrator. As the Corporate Receptionist and Administrator you will be well organised and passionate about providing a high-level quality service.
You will be front of house and the first port of call for the Trust Headquarters at Cambridgeshire and Peterborough NHS Foundation Trust, therefore you will need excellent communication and presentation skillset.
The Corporate Receptionist and Administrator will be an effective member of the Corporate Team, supporting the team to provide a high quality and effective administrative service to the Executive Team.
Receive and transfer incoming telephone calls dealing with these in a discreet and efficient manner taking appropriate action as necessary taking messages when appropriate.
Receive visitors, staff and service users at reception in an efficient and polite manner and directing them to the appropriate place. Operate a visitors book.
Be responsible for producing ID Badges across the organisation and maintaining the ID Cards inbox.

Main Duties
1. Receive and transfer incoming telephone calls dealing with these in a discreet and efficient manner taking appropriate action as necessary taking messages when appropriate.
2. Receive visitors, staff and service users at reception in an efficient and polite manner and directing them to the appropriate place. Operate a visitors book.
3. Receive post and parcels, sorting and distributing to departments within Elizabeth House. Check external post box for items.
4. Prepare and record external post.
5. Scan and forward documents to appropriate team.
6. Arrange couriers and book taxis as appropriate.
7. Report faults and repairs to the Facilities Service Desk when required.
8. Be responsible for the safe keeping of keys and issuing them when required.
9. Be responsible for producing ID Badges across the organisation and maintaining the ID Cards inbox.
10. Receive calls via the On-Call switchboard and forward to appropriate Manager. Ensure the out of hours switchboard is maintained.
11. Update weekly staff signing in sheets.
12. Print, scan and laminate documents when required.
13. Be responsible for ordering stationery on the Oracle system.
14. Be responsible for the Reception area ensuring it is well presented.
Information Technology
1. To utilise a variety of Software packages to the best advantage in producing accurate documents and presentation material within agreed times limits.
2. Review and develop IT skills in relation to the Trust's IT systems that are necessary to promote the Trust's corporate image ensuring all skills are kept up-to-date by attending courses when necessary.
