**Group Operational Support Executive - Hessle**

We are currently recruiting for a full-time Group Operational Support Executive (40hrs) to join our team. You will have a natural passion for organisation of administration and tasks, within a complex business environment. In this role, there is responsibility for coordinating a group of Administration Apprentices, therefore previous similar experience would be beneficial. The role is working Monday to Friday, with one Saturday morning per month also.

**Salary**

This role offers a salary of between £23,000 - £27,500 dependent on experience. The role is a permanent contract. We also have a range of employee benefits such as a Health Cash plan and subsidised gym membership at the Village Gym.

**Job Profile**

You will be responsible for a broad and diverse range of operational admin and support activities that will ensure a smooth-running business. You will be required to delegate tasks to a cohort of Business Administration Apprentices in line with business priorities and work towards targets, deadlines and expectations, set by the heads of each department and the senior management team. You will be required to maintain levels of stock, stationery and equipment and be proactive in your approach to understanding the correct levels required. No day will be the same and you will be the type of person that enjoys change and working in an ever-adapting environment. You will be an excellent communicator able to proactively identify and collate updates. You will love to manage multiple tasks and deadlines and be flexible and supportive in your approach. A key part of this role is also ensuring that all mandatory reporting is completed in line with the regulatory frameworks.

**Key Responsibilities/Accountabilities**
- Coordinating a cohort of Business Administration Apprentices to meet the needs of the business admin requirements.
- Working directly and supplying support to key members of the Senior Management Team (SMT), including working as part of the back-office support team. Acting as a Personal Assistant where required, during peak workloads/periods.
- Communicating to C-Level and other stakeholders, with the ability to offer solutions and approaches.
- Dealing with the day-to-day changes to administration requirements, working pro-actively with a pragmatic approach to problems arising.
- Managing spreadsheets and systems to effectively coordinate and complete all data requirements.
- Identifying innovative and more effective ways to hold and report on data, in line with GDPR and legislative requirements.
- Compiling reports from gathered data and disseminating in an accessible, user-friendly format.
- Compiling and providing data for external third parties.
- Processing of incoming and outgoing post, using the franking machine. Ensuring that post is sent out daily.
- Maintenance monitoring and stock ordering for the business.
- Ordering and monitoring of supplies, such as stationery, PPE and uniforms
- Maintaining and updating the diary of events, including organising the weekend/evening cover schedule.
- Coordinating maintenance of on-site equipment such as coffee machines, printers, etc.
- Printer monitoring to arrange maintenance and paper stock.
- Event organising incl. Xmas parties.
- Managing of OPSA post and payments.
- Purchase order forms and raising requisitions for suppliers.
- Supporting IT and Operations to set up new internal starters.
- Ordering logbooks for the Homecare team.
- Booking meetings for SMT.
- Meet and greet customers, particularly hosting external customers/attendees for meetings with SMT.
- Ensuring that the office is clean and tidy and that H&S procedures are followed.
