Title: Workplace Coordinator
Package: £30,000 Per Annum + 25 Days holiday & company pension scheme.
Location: West Drayton
Working hours: Monday-Friday - 8:00am-5:00pm
My client are a global maintenance provider looking to strengthen their team with a Workplace Coordinator to join the team working on a contract for a life science client.
About the role
- The Workplace coordinator will be expected to manage themselves with all aspects of administrative process at a site level. They shall provide an exceptional Customer Service experience, acting as a point of contact for all enquiries.
In general, the responsibilities will be to carry out the efficient supporting of the Operational, QHSE and Administrative Systems and associated functions at site level.
Main Duties:
- Ensure customer satisfaction is established and maintained by providing a quality and pro-active service. Maintain a presence around the building ensuring a positive interaction with building users in all areas.
- Provide leadership, initiative and ensure that contractual commitments are met and exceeded.
- Work with the Client to support site planning and the continued development and improvement of the workspace through new initiatives and innovations to help facilitate new, more flexible ways of working.
- To liaise with key stakeholders to co-ordinate building events.
- Manage meeting room and hospitality bookings and liaising with caterers if required.
- Assist site team in moves and room set up as required
- Provide cover to the reception desk for any absences so that the desk is never left unattended during operational hours.
- Support of site financial plans for reduction of WIP, debt, cost reduction.
- Support with Monthly Site Review - reports to a high standard and in a timely manner.
- Work with the client to manage office moves and changes.
- Ensure appropriate control systems to ensure statutory, policy and contractual commitments are met.
- Management of SI Local (CAFM) System and reporting for site including management and site control of all Helpdesk calls/tickets and the day to day running and tracking of all reactive tasks.
- Ensuring the cleaning standards to the building are being met and costs controlled in line with budget in conjunction with cleaning team
What we are looking for
- Proven experience within a strong facilities background
- Self-disciplined and able to work on own initiative with the ability to make decisions without referral to line manager
- Experience in using CAFM systems - logging jobs, running reports, raising purchase orders etc.
- Attention to detail, a focus on standards, methodical and organised
- Computer literacy, competent with the Microsoft Office suite including Word, Excel, PowerPoint and Outlook and the ability to support printing and audio-visual solutions
- Valid formal Health & Safety qualification e.g., IOSH (1 or 5 day) is desirable.
- Always remain calm, patient, and polite when receiving customer feedback
- Be helpful and go out of your way to help guests, employees, and the public
