Main Purpose of the Post The post holder will: - Provide support services to ensure the efficient operation of the academy trust - Liaise effectively with central team and school staff to enable smooth running of financial administration - Maintain financial information management systems (PS Financials) - Manage and process payroll within Sage software - Analyse and evaluate financial data and information to produce reports as required. Specific Responsibilities and Tasks **Sales Ledger** - Maintain customer data within finance system - Raise sales invoices to recharge internal costs within the trust as directed - Raise external sales invoices for sold services - Distribute sales invoices to customers and deal with any queries - Record income received in finance system - Reconcile aged debtors monthly to ensure income is received within the agreed terms - Ensure safekeeping of monies received, issue receipts when requested, complete paying in slips and bank income when required **Payroll** - Maintain employee records within Sage payroll software and Sage HR portal - Update employee records when required, such as new starters, contract changes and pay awards - Ensure monthly substantive salary amount are correct and agrees to employment contracts - Check for accuracy and calculate monthly adjustments for overtime and absences - Calculate statutory entitlements, such as maternity pay and sick pay - Calculate final salary payments and process returns for leavers - Upload salary information monthly to SBS budget software for reconciliation - Process salaries for payment and upload to on line banking system - Send out payslips to employees - Complete all HMRC returns and process required payments - Complete all pension returns and process required payments - Process all other salary deductions such as union fess, childcare vouchers and AOE and process required payments - Process payroll journals in finance system and complete monthly payroll reconciliation of control accounts - Deal with employee pay related queries **Audit** - Manage the year end audit and reconciliation of LGPS and Teachers Pension - Assist with the internal scrutiny visits, ensuring requested information is provided in a timely manner - Assist with the external annual audit, ensuring requested information is provided in a timely manner **Central Administration** - Contribute to the planning, development and organisation of support service systems, procedures and policies - Assist with marketing and promotion of the trust and schools The Trust reserves the right to alter the content of this job description, after consultation to reflect changes to the job or services provided, without altering the general character or level of responsibility. Endeavour Schools Trust and the schools within the Trust are committed to a number of principles and adhering to legislation which include the Safeguarding of Children, Health and Safety, Data TRUST PAYROLL OFFICER PERSON SPECIFICATION - Level 2 in English and Maths - Driving license is essential with willingness to travel **Experience,** - Minimum of 1 year post payroll qualification OR 3 years’ experience working in a relevant payroll position. - High level of IT competence, including Excel. - Minimum of 1 years’ experience of using payroll software packages - High level of accuracy when calculating and processing financial information - Evidence of proactive and value for money approach to procurement of services and cost saving initiatives - Effective management of customer, dealing with queries quickly to achieve a positive outcome **Qualities** - Resilience - Strong persuasive, influencing and interpersonal skills with the ability to negotiate and communicate clearly and confidently - Clear analytical skills to allow the exploration, evaluation and interpretation of information and opinions and utilisation of management information systems - Ability to think creatively and to prioritise - Have a proactive attitude to problem solving - Punctual and reliable - Takes
