**Job Purpose**
You will be responsible for providing administration support across the ESFA Study Programme contract. The admin support will be an enthusiastic and highly motivated individual who can provide excellent customer service, have data processing skills as well as strong IT and organisational skills
You will work closely with the admin and Learning Mentor team on the management of any administrative functions throughout the business. This will include being the first point of contact for learners and visitors, providing initial information on the range of services available, and other office administration related tasks
**Main Duties and Responsibilities**
- Check and audit all paperwork to ensure that it is accurate, compliant, and completed to a high-quality standard prior to data entry
- Ensure that all enrolments meet ESFA eligibility and residency rules prior to processing
- Accurately Input all bursary transactions into the MIS system
- Support the MIS & Admin Manager with monthly ILR returns
- Have a full understanding of all aspects of learner enrolment, timetabling, curriculum offer, and examinations processes to be able to provide additional support to operational teams when required. Including training support for new staff
- Conduct attendance calls for non-attending learners and send out attendance warning letters
- Disseminate post to relevant staff members
- Support the Learning Mentors with enrolment/IAG sessions
- Provide administration support to the business
- Provide cover support for reception to ensure excellent front of house service is always provided
- Responsible for upholding procedures to Safeguarding learners, reporting appropriately, and ensuring Prevent Duty is upheld. To adhere to the Safeguarding & Prevent Policy and Processes at all times and ensure Safeguarding information is inputted into PICS in a confidential and secure manner
- Support all staff with attendance tracking in line with CTS Attendance and Withdrawal Process
- Maintain a central log of all internal and external mail
- Monitor stationery and resources and order the stationery for the office, ensure appropriate levels of stock are maintained
- Ensure the reception area is tidy, welcoming, and well always maintained
- Adhere to and uphold CTS Health and Safety, Equal Opportunities Policies and Quality Systems always
- Comply with GDPR and Data Protection Polices at all

- Ability to work well under pressure and in a fast paced environment
**Training to be completed**
- Business Administration Level 3
- IAG Level 2 or willing to work towards
- Maths and English Level 2 (if required)
**Hours**
37 hours
Monday to Thursday, 8.30am - 4.30pm
Friday, 8.30am - 4pm
**Additional information**

**Salary**: From £4.81 per hour
