**Role Outline**

This role will support the Head of Central Resources in the delivering a comprehensive, high quality finance function and to provide administrative support ensuring finance processes are robust and efficient, specifically, income processing, and payment of supplier invoices, banking and payroll. You will work as part of a team, meeting the financial requirements of the Charity and assisting the Head of Central Resources by contributing to the preparation of year-end accounts, reports for the Chief Executive, Senior Leadership Team, Finance
Committee and the Trustees.

**KEY RESPONSIBILITIES**

**Maintain financial systems for Galloway’s Society for the Blind and its**
**Subsidiaries;**
- To be responsible for accurate data input and analysing using accounting software (Sage).
- Maintain purchase ledger, processing of supplier invoices and preparing regular payment runs for authorisation by Head of Central Resources.
- Reconciling supplier statement to Sage Creditors Ledger and requesting missing invoices and credit notes, notifying Head of Central Resources of any discrepancies.
- Maintain sales ledger including producing Aged Debtors Report and identifying overdue accounts to the Head of Central Resources **.**
- Recording all income received and co-ordinate cash management and banking within the organisation.
- Reconciliation of all bank accounts including monitoring balances to ensure an adequate cash flow for the charity.
- Monitor and process expenses, petty cash and co-ordinate the management of Charity credit cards.
- Assist with monitoring turnover for VAT registration threshold, and non
- primary purpose income notifying the Head of Central Resources.
- To be responsible for maintaining the fixed asset and posting depreciation journals.
- Preparation and submission of the HMRC Gift Aid and VAT returns on a regular basis;
- Creation, development and maintenance of accounting spreadsheets as required.

**Payroll and HR Administration**
- Collate payroll information for each department for approval by the Head of

Central Resources.
- To be responsible for processing monthly payroll (using Sage payroll system), including pension auto-enrolment, taxation and National Insurance.
- To make sure all submissions and payments to HMRC, the pension providers and other agencies are prompt, liaising with each of them as necessary.
- To deal with staff queries on payroll as necessary.
- Review payroll reports and reconciliation of variances, preparation of the payroll journal and post to sage.

**Provide support to the Head of Central Resources, Senior Leadership Team and Staff**
- Prepare monthly Management Accounts.
- Maintain, design and develop bespoke Sage reports to provide information and data as required by the Head of Central Resources, CEO and SLT.
- Assist/Train colleagues from other departments on financial policies and procedures.
- Assist colleagues and volunteers in the use of Excel spreadsheets etc. to ensure compliance with the charity’s procedures manual.
- Assist with reconciliation of grant income received and costs incurred, and report on variances.
- Deal with enquiries from contractors, service users and other external organisations, ensuring that all financial transactions are conducted in an expedient manner.

**Ensure the activities of the charity comply with legal requirements and good practice**
- Assist with the annual audit and statutory accounts programme.
- To keep up to date with financial issues, good practice and regulatory change applicable to the charity.
- To assist with the review and update the Internal Controls, Financial Policies and Procedures Manual on a regular basis for the Head of Central Resources to review and approve annually with the Trustees.
