Due to a valued team member starting maternity leave, we are seeking a **Full-Time Admin Assistant** to join our supportive and dynamic office. This is a key position supporting essential admin functions such as dispatch, invoicing, and customer payment processing.
- **Working Hours**: Monday to Thursday, 08:30 - 17:00 and Friday 08:30 - 16.30 (with a 30-minute unpaid lunch break)
- **Bonus**: Pet-friendly office - you’ll share your day with Bruce and Bruno, our lovely office companions

**Job Summary**

This role supports dispatch operations, invoice processing, customer payments, and general office admin. You'll work closely with both warehouse and sales teams, prepare international shipping documentation, and assist with finance-related tasks. We’re looking for someone who thrives on variety and takes initiative.

**Duties & Responsibilities**
- Organising UK and international dispatch (FedEx, TNT, PTI, etc.)
- Creating and attaching commercial invoices for shipments
- Sending updates and documentation to customers and sales team
- Handling payments: card, cash, Pay by Link, PayPal, bank transfer
- Monitoring eBay payments and responding to finance inbox queries
- Matching payments with orders and processing receipts
- Requesting shipping quotes and attaching delivery details
- VAT checks and end-of-day cash reconciliation
- Updating dashboards and commission sheets
- General invoicing and booking collections
- Answering phones, greeting visitors, and ad-hoc admin tasks

- Assertiveness to uphold procedures - especially when dealing with a high-energy sales team
- Minimum 1 year of admin experience preferred
- GCSEs (Grade C/4 or above) in English, Maths, and IT (or equivalent)
- Familiarity with Google Docs, Excel, and online systems
- A friendly and reliable nature with a strong customer focus
- Accuracy and attention to detail, especially under pressure
