**Accounts/Office Administrator**

You will be heading up the entire invoicing process, as well as ensuring the smooth day to day running of our office.

Hours of work are Monday to Friday 8.30am -5pm.

**Role Requirements**
- Some experience in an office-based role is necessary, however full training on all processes and systems will be provided.

**Role Responsibilities**

**Accounts**
- Printing and processing all invoices.
- Obtaining invoice authorisations.
- Preparing fortnightly invoice runs for the MD.
- Reconciling payments using our accountancy software, xero.
- Filing away paid invoices in the relevant job folders.
- Creating monthly valuations for each job.
- Verifying the CIS status of new contractors.
- Ensuring contractor insurance documents are up to date.
- Complete trade account forms.
- Ordering items on the company credit card for site.
- Checking monthly direct debits.
- Raising monthly invoices and credit card expense sheets.
- Download Utility monthly invoices for the sites onto server.
- Check AL account to ensure mortgage payments can be covered each month.

**Document Control**
- Assisting the QS department in printing A1 plans/drawings.
- Obtaining drawing authorisations.
- Saving all drawings in the correct server folders.

**Office Assistant/General Tasks**
- Answering all office phone calls.
- Ordering stationery.
- Setting up new workstations for new employees if needed.
- Keeping the kitchen cupboards / fridge full of tea/coffee/fizzy drinks/beers/snacks etc.
- Dealing with any office issues (contacting the landlord etc to arrange for repairs).
- Assisting the Managing Director when needed.
- Assisting the Rentals Department when needed.
