**Overview**
As a Warehouse Administrator, you’ll be the crucial link between Warehousing and Procurement, ensuring the accurate, and efficient flow of materials across site. Based in our dedicated production facility, you’ll manage key administrative and stock control processes.
We’re looking for someone who is organised, analytical, and proactive, with excellent attention to detail and communication skills. You should be IT literate, experienced with Warehouse Management Systems (ideally SAP), and comfortable working in a fast-paced, collaborative environment.
**MAIN DUTIES & RESPONSIBILITIES**
**GoodsIn Administration**
- Manage and record all inbound deliveries of raw materials, traded goods, engineering and departmental ad-hoc orders.
- Coordinate with transport partners, suppliers, and internal teams to schedule deliveries and collections.
- Coordinate the COM (customers own material) process liaising with customer services and treatment partners to direct fabrics as advised.
- Ensure all Goods Received Notes (GRNs) accurately match received quantities, and log all deliveries promptly in the system.
- Report delivery discrepancies to Procurement and quality issues to QA.
- Address all invoicing queries stemming from goods receipting queries
- Maintain accurate records for inventory, orders, and logistics documentation, both digital and paper-based.
- Support general administrative tasks, including filing, scanning, and documentation.
- Contribute to continuous improvement initiatives and support cross-departmental projects when required.
**Stock Control**
- Develop a solid understanding of site layout, materials, and finished goods.
- Monitor stock levels, ensuring correct storage and timely resolution of stock issues.
- Conduct ad-hoc inventory checks, cycle counts, and support warehouse re-mapping activities.
- Analyse stock reports, resolve discrepancies, and update transfers within the Warehouse Management System.
- Maintain high levels of accuracy and attention to detail in all record-keeping.
**Quality**
- Ensure all incoming materials meet Vispring’s quality standards and are free from contamination or pests.
- Record and report checks accurately in accordance with QA procedures.
**Compliance and H&S**
- Follow all Health & Safety procedures and Standard Operating Procedures (SOPs) relevant to warehouse administration.
- Complete all required checks with diligence, and immediately report any accidents, damage, or hazards.

- Fluent in English (E)
- Strong written, numerical and verbal skills (E)
**Technical**
- Proficient in Microsoft Excel (E)
- Experience using WMS systems, ideally SAP (E)
- Knowledge of Vispring production processes (D)
