We are looking for an admin assistant to join our team at Whitecraigs Tennis, Squash and Fitness Club.

The admin will assist with the smooth running of the club by providing support to committee members and Managers. Our admin will act as the first point of contact for members and visitors and answer phone calls and direct queries to the appropriate staff members to deal with them.

The admin will implement organisational systems to ensure that all data is managed effectively and accessible when required.

Membership admin
- Filing system for customer information to adhere to GDPR
- Answer prospective member queries and pass to relevant convenor
- Reconcile membership payments and refunds where required
- Clubspark assistance for members where required
- Membership report from clubspark monthly
- Answer member telephone queries
- Input membership sales to sage accounting software
- Burn security fobs for members

Invoices, Payroll, Banking and HR
- Input all invoices into sage and raise for payment in a timely manner
- Complete payroll process for bar, tennis, squash and full-time staff
- Reconcile banking payments with club accounts and report to treasurer and bookkeeper
- Use of Stripe, Go Cardless, Cashflows and Sage
- Reconcile the business into Sage posting Profit and Loss
- Assisting with HR matters
- Holiday calculators and sickness records

Club Presence
- Be the face of Whitecraigs T, S+F Club
- Daily interaction with members
- Customer facing at front desk
- Be the hub of knowledge for all club operations

Other Admin tasks
- Support Club manager in day to day running of club operation
- Support President and Committee in their roles at the Club
- Support the club in keeping up to date on relevant paperwork, registrations and H&S paperwork

Coaching Admin
- Respond to parent queries and notify coaching team
- Assist with payments and refunds
- Coaching updates and Tournament info

Essential
- Previous office admin experience
- Knowledge of Microsoft Office Products - Word, excel, PowerPoint etc.
- Excellent Interpersonal skills
- Excellent Organisational skills
- Ability to work as part of a team

Desirable
- Knowledge of sage accounting software
- Experience in Payroll and Bookkeeping

Training will be provided

**Job Types**: Part-time, Permanent
Part-time hours: 16 per week

**Salary**: £10.00 per hour
