We have a vacancy to for a Personal Assistant to provide and co-ordinate a comprehensive, confidential, and high quality secretarial and administrative service to two Executive Directors and to be responsible for the smooth and effective running of the administration and systems of their offices.
The post holder must work on their own initiative, develop their own administrative systems, and manage and prioritise their workload seeking advice and escalating issues to Directors when required.
THIS POST IS FIXED TERM/SECONDMENT FOR 12 MONTHS DUE TO MATERNITY COVER
If you are an internal applicant this post will only be offered on a secondment basis and you will need to have gained your line managers approval for the secondment prior to going to interview
Main duties of the job
- Organise and plan the workload, diary and commitments including all travelling and accommodation arrangements as necessary of the Directors including the scheduling of formal and complex meetings, ensuring deadlines are achieved and that the flow of work is prioritised for the Director to deliver targets and objectives.
- Proactive in managing the Directors electronic diary commitments to ensure their time is used effectively and take all necessary action to ensure the Director is aware of appointments, changes etc.
- Responsible for high level co-ordination between the Directors and senior
managers to initiate/produce reports, briefings, papers etc. for meetings and key stakeholders.
- Responsible for producing agendas and papers, taking formal and informal
minutes/action notes, and distributing them as appropriate ensuring any
actions are followed.
- Manage incoming telephone calls and enquires, which may be of a complex and sensitive nature, exercising tact and diplomacy and ensure that appropriate action is taken. Ensuring that all calls are greeted bilingually.
