The purpose of this role is to work directly with the CEOs to manage schedules and communications. This role will work to coordinate and organise appointments, meetings, travel, and much more. Your role will be to ensure every detail of the daily duties for the CEOs are coordinated between team members and the leadership team. This is a critical role, dedicated to ensure a smooth running process for our Leadership, Sales and Operations. This is a highly strategic position, where tasks and routines will transition quickly and strong versatility is a must.

**Position Overview**:
The Executive Assistant will work directly with the owners to manage their schedules, clinic communications, and assist with strategic clinic operations. The EA will coordinate and organise appointments, meetings, travel, and much more. Their role will be to ensure every detail of daily clinic operations is coordinated between team members and leadership, ensuring a smooth-running practice. This is a highly strategic role, requiring the EA to anticipate the clinic’s needs, plan ahead, and support key projects for improving clinic efficiency.

**Responsibilities**:

- Manage calendars, scheduling meetings and clinic appointments for the owners.
- Handle clinic communications and serve as a liaison between clinic staff and leadership.
- Prepare presentations, clinic reports, and assist with data analysis on clinic performance.
- Step in to represent the owners in key clinic meetings when necessary.
- Maintain clinic budgets, financial reports, and coordinate clinic operations.
- Assist in staffing and training processes.
- Project management and delegation support for clinical and administrative initiatives.
- Support during clinic events, manage client relations, and assist with marketing strategies.
- Efficient execution of personal and clinic errands: Ensure errands, whether personal or clinic-related, are executed in a timely and organised manner, contributing to the overall efficiency of both the owner’s work and personal lives.

**Requirements**:

- High school GCSEs or equivalency (Bachelor’s degree).
- Highly organised and able to multitask.
- Proficiency with clinic management software (Dentally) and office tools (Microsoft 365, Microsoft Office, Excel, Google Apps, Canva etc).
- Excellent verbal and written communication skills.
- At least 2 years of executive or administrative support experience in a healthcare setting.

**Metrics**:
Maintain an organised calendar with no overlap in appointments.

Ensure timely and accurate communication and task completion.

Keep track of clinic KPIs and report key metrics to the owners regularly.
