Invincible Drain Care Ltd is one of the largest independent plumbing and drainage service providers in the UK. Undertaking Planned and emergency work throughout the UK, providing a single point solution for all drainage and waste water plumbing requirements.
**About the Role**
Based from our Romsey office, the role will assist in the coordination in all aspects of the emergency and Reactive works on a day to day basis including coordination of work tasks, using problem solving skills to prioritise workloads to ensure client expectations are met and engineers’ diaries are kept up to date and full.
The role will re-create and tidy up engineers job cards as necessary prior to sending out to the customer and in addition the works are to be invoiced on completion with a high level of detail required. Good communication with clients, colleagues, and field engineers is required (both verbally and remotely). The role will create Risk Assessments and Method Statements (RAMS) for jobs, amend as necessary, and carry out invoicing.
The Majority of tasks will be carried out using our bespoke in-house database.
**Key Responsibilities**
- Organise and manage Emergency, reactive and pre-planned maintenance works within your team, prioritising certain tasks as required whilst maximising all resources and ensuring efficiency of diary planning and schedules;
- Process jobs from clients and pass to engineers both verbally and via our in house systems;
- Create work schedules and allocate engineers based on ability and locations;
- Assist operations with the smooth running of jobs, and assist engineers on a day to day basis dealing with any problems or issues that may arise;
- Complete Risk Assessments and Method Statements (RAMS), as well as developing, creating and adjusting when required. Once completed forward to clients for approval;
- Authorise sub-contractors invoices ensuring all details match purchase orders, including any changes or alterations that have been agreed;
- Carry out quotations as required on uncompleted/follow on works
- Collate all necessary information and documentation onto jobs, calculate charges for services rendered and prepare customer invoices;
- Be the first point of contact for internal and external enquiries received;
- Liaise with Customers, Staff, Subcontractors and other professional bodies, to ensure work is completed in a timely manner to client satisfaction;
- Order/hire/return all plant, equipment and materials as required ensuring purchase orders are completed with full details/updates added to the job accordingly;
- Share responsibility of taking out of hours calls as part of the callout rota and process jobs from clients to pass to engineers ensuring the clients are kept updated;
- Provide cover for other operational work within the business as and when required;
- Carry out any other reasonable task within your capabilities.
**Who are you?**
We are looking for someone who can work within the operations team and support all aspects of day to day diary management of planned work.
Previous experience and the ability to create Risk Assessments and Method Statements (RAMS) would be beneficial
You must be able to build and maintain relationships with a variety of people.
Ideally, we would like somebody who has held a similar role before with at least 2 years’ experience in administration or a similar co-ordinator role.
Excellent organisational and communication skills are essential
A general level of computer literacy will be required.
Salary from £23,000 depending on experience
