**Primary Function**
- To provide an efficient and professional Reception service to all guests, staff,
communication
**Responsibilities and Duties**
- Taking reservations and allocating rooms to guests, delegates and visitors as
required
- Checking guests in and out
- To handle incoming and outgoing telephone calls promptly and courteously,
ensuring that enquiries and messages are dealt with efficiently at all times
- To develop and maintain effective liaison with other departments (e.g.
housekeeping, restaurant and kitchen) and headquarters departments, e.g.
learning and development, and Committees
- To administer reservations correctly and courteously
- To ensure that guests are greeted, checked in and allocated rooms promptly and courteously every time
- To adhere strictly to check-in procedures and make sure that the correct address and charge out details are obtained from each hotel guest
- To ensure that newspapers and parcels are delivered to rooms without delay.
- To ensure that all charges are correctly entered on the guest's bill and that this is up to date at all times
- To ensure effective and speedy check-out facilities
- To keep all reception areas are clean and tidy at all times
- To ensure maximum security in all areas under this post-holders control
- To reconcile banking and make sure effective financial safeguards are
maintained
- To prepare bills and take payment
- To answer switchboard and handle messages effectively
- To help guests with special requests
- To liaise with Housekeeping, kitchen and other departments on relevant issues
**Occasional Duties**:
- To prepare for and assist at any special functions which may sometimes occur outside normal working hours.
- To report, and where possible take action about customer or client complaints or compliments
- To report, and where possible take action for any incidents or accidents, fire,
loss, theft, damage or other occurrences.
- To attend training courses as directed.

**Person Specification**
**It is essential that the post-holder**:
- Has worked within a reception or related role
- Is able to project a professional and positive persona at all times
- Has effective interpersonal and communication skills, can communicate at all
levels and can appear approachable to staff and guests
- Has demonstrable organisation skills
- Has a solid and stable background in a hotel environment or a similar front of
house role
- Is willing to be hands-on
- Can demonstrate flexibility with regard to shifts and overtime
- Has the ability to use their own initiative, within defined parameters
- Has a high level of spoken English and neat handwriting
- Is able to remain calm under pressure and handle several tasks at one time
**It is desirable that the post-holder has;**
- Working knowledge of computerised reception software
- Experience as a receptionist within a major conference centre or hotel.

**Salary**: £23,920.00 per year
