This is a temporary assignment for 6 months in the first instancef for 3 days a week/0.6 WTE

You will be working on a Bank (0 hour base) contract with staffing solutions.

To provide support to the (1) Senior Institute administrator and (2) Head of Operations in overseeing the administration and operation of the Institute of Clinical Psychology Training and associated activities. To also provide PA support to the Programme Director and Head of Operations alongside other personal assistants in the team.

The core purpose of the Oxford Doctoral Course in Clinical Psychology is to train psychology graduates to qualify as clinical psychologists. The Course is currently staffed by a group of clinical psychologists assisted by administrative staff.

The post-holder will act with considerable autonomy and initiative in reconciling the administrative and personal assistant requirements of several diverse organisations spanning the health and education sectors and ensure that effective and efficient communication is maintained between the Institute, the University of Oxford and the OHFT (who are the employers of The Institute staff and trainees).

The post holder is part of a well-established team, committed to high standards in clinical training and holds a thorough understanding of the Oxford Institute of Clinical Psychology and Oxford Doctoral Course in Clinical Psychology training programme, its stakeholders and its administrative systems and processes.

- To provide support to (1) the Senior Institute administrator and (2) the Head of Operations in overseeing the administration and operation of the Institute of Clinical Psychology Training and associated activities.
- To process manual repayment and associate expenses forms, liaising with the creditors team.
- To provide support and assistance to staff members in various administrative tasks.
- As part of the admin team, monitor the Institute’s general inbox, make room bookings and oversee the online calendar.
- Ongoing information update/maintenance of contact databases
- To act as Secretary to the course committees as assigned by the Senior Institute administrator and Head of Operations.
- Help to prepare rooms for teaching and assist in providing hospitality to visiting lecturers and providing them with appropriate documentation/resources.
- Help the course team with uploading and maintaining content on the University VLE - CANVAS.
- Contribute to overall high-level administrative support to Institute and Course committees to plan agendas, prepare reports, spreadsheets, supporting papers, correspondence and minutes.
- Assist with the admission process as directed by the Senior Institute administrator and Head of Operations.
- Contribute to the Institutes online presence, to assist with the maintenance and updating of the Website and Twitter feeds, working alongside the Centre Administrator
- Manage incoming and outgoing post.
- Assist in the purchase of goods (stationery etc.) and services utilised by the Institute using the trusts eProcurement system.
- Maintenance/filing of documentation for Institute staff and trainees, ensuring that this information is sensitively and confidentially maintained.
- To assist the Head of Operations with activities to ensure compliance with the DPA/GDPR.
- Liaise, report and maintain standards on building maintenance, waste management, catering and cleaning.
- Act as Fire Marshall and ensure upkeep of Fire Log and monitoring.
- To contribute to the programme handbooks for trainees.
- To assist with the preparation and submission of the quarterly HEE data collection audit, liaising with the other Institute administrators for the relevant content.
- To assist the Senior Institute Administrator with the Board of Examiner documentation and processing of student assessments.
- To undertake audits as needed by the Senior Management Team across the Centre for Psychological Health
