Travel Co-Ordinator Description:
The position of travel coordinator is to book, prepare and distribute travel itineraries, including all relevant details such as flight information, hotel reservations, car rentals, and schedules. Ensure all travel arrangements are accurate, complete, and aligned with our policies and budget needs.

Main responsibly is to provide high-level organising, scheduling, communications, and administrative support, clerical services to the Executive Team in an effective and efficient manner.

**Essential**:

- A minimum of one year as a travel agent
- Confidence and ability in booking online accommodation and travel arrangements.
- Strong organisational skills and attention to detail is critical.
- Ability to work independently and prioritise tasks effectively with good time management skills and using initiative.
- Maintaining our professional outfit and adapting to new processes, finding ways to operate more efficiently and handle changing situations as well as dealing with unexpected challenges during travel.
- Excellent communication and customer service skills.
- Proficient in using online travel platforms.
- Strong level of IT knowledge e.g. Word, Excel, and Google Applications

Benchmark will encourage growth in your role as the company grows and will provide training where necessary.

You will report directly to Office Manager and support by Director of Company Operations overseeing the Office Team.

**Tasks**:
Summary: Booking travel arrangements for team members in line with the travel policy by researching hotels, airlines, and other travel vendors to secure the best rates and options for travel.

1. Accommodation, flight, trains, hire cars, airport transfers.
- Create detailed itineraries for each trip, including flight details, hotel information, and any additional activities or reservations.
- Be proactive with finding alternative routes that are cost saving and time efficient for the business and employee. Working with booking agents on behalf of team members, ensuring checks and measures are being looked at, offering the best prices and options compared to booking direct and/or using 3rd party websites.
- Communicate with employees to gather necessary information for travel arrangements, such as travel dates, preferences, seat allocation, reward numbers input and any special requirements.
- Maintain and create and new travel record documents with bookings made.

2. Working with the Exec and Founders in the Business for all travel needs

4. Assist with travel insurance as needed.

5. Handle any changes or cancellations to travel plans, including rebooking flights or adjusting accommodations as needed.
6. Provide support to travellers during their trips, including assistance with any issues or emergencies that may arise.
7. Communicating with the Internal Administrator and Events Co-Ordinator with booking travel for company internal/external events.

8. Registering for non-Benchmark events and managing the attendance.

9. Ensure compliance with company travel policies and procedures.

10. Cover holiday as needed for colleagues in the same team (relevant to travel)

11. Internal staff questions and assistance.

12. Attending in person/online meetings with Office team and the Annual General Meeting.

13.Perform general office duties, for example ordering supplies. Supporting team members within the Administration department with any last-minute requirements.

14. Action any new processes with the Travel Operations, working with the team
