**Job Title: Trainee Community Hub Coordinator**
**Hours**: 25 hours per week
**Location**: Bethnal Green Community Hub
**Responsible to**: Directors/Supervisor
**Key responsibilities**:
- Ensure that effective administrative functions are developed and implemented to take booking, invoice external organisations and service users.
- Provide management and support to manage lettings or rooms and facilities available to the public.
- Implement management policies and procedures in conjunction with Ashaadibi's policies and procedures, and subsequently review, monitor and develop policies as required for approval by Ashaadibi Trustees.
- Ensure that effective administrative functions are developed and implemented to maintain the building in good condition and to provide timely access to Centre equipment and that such equipment is returned and stored after use.
- Attend Management Committee and Trustee meetings and prepare, in consultation with appropriate members, agendas for the meetings and produce accurate minutes for approval by Directors.
- Manage Hub reception and approved contractors to ensure that agreed Centre administrative and kitchen/equipment inspection/maintenance functions are carried out efficiently and cost effectively for the benefit of all users of the building and its associated facilities.
**Management of Building**
- Ensure implementation of all statutory health and safety requirements. Ensure health and safety regulations are regularly monitored for compliance and develop and implement revised policies as and when required.
- Manage some/all aspects of the coordination of the activities in the hub
- Undertake periodical risk assessments to identify potential risks and measures needed to minimise such risks
- Develop, implement and monitor policies and procedures for routine inspection/maintenance of plants, telecommunications, fire safety equipment, mechanical and electrical equipment (including PAT testing) and PEST controls within the building.
- Ensure that maintenance booking schedules are developed and implemented.
- Overall responsibility for the security of the building and for establishing administrative arrangements for opening/closing of the building.
- Develop and implement procedures for monitoring and responding to emergency alarms.
- Manageminor internal or exterior repairs (e.g broken windows) and maintenance within a delegated budget.
- Overall responsibility for ensuring that all rooms and public areas are kept clean and serviced and for establishing waste management/disposal procedures.
- Maximise use of allocated resources to ensure the provision of high quality, effective, efficient and economic services.
- Oversee volunteers and user management at the hub
**Qualifications & Person Specifications**
**Experience in**:
- Financial management (Desirable)
- Managing services or buildings, personnel and contractors (Essential)
- Health & Safety including risk assessment and maintenance management (Desirable)
- Development and marketing of services (Desirable)
**Skills & abilities: -**
- Excellent communication skills both written and verbal
- Customer services skills
- Confident and able to work on own initiative
- Accurate financial recording
- Able to prioritise work and demands
- Able to work as part of a wider local team managing community buildings and local services and people.
- Understanding or and ability to produce financial budgets
- Able to work flexible hours - prioritizing needs of the hub coordination.
- Computer literacy

**Qualifications**
- Educated to A-Level (Essential)
- A good understanding of Somali culture and basic Somali spoken language
- At least 1 year of project management experience or have transferable skills (Essential)
