Experienced, highly motivated Medical Secretary / Project Administrator to support the Team Manager and Multi-Disciplinary Team working on an innovative pathway with patients in the Stockport borough. The post holder must be reliable, flexible and have a sensitivity to people with physical and mental health problems. Whilst the service delivery is in Stockport, the admin team are based in Oldham. The post holder will be expected to travel to Stockport one day per week as part of the role to attend team meetings and will be supported with travel time and expenses to attend
This role will offer secretarial support, as part of our small admin team, to enable a comprehensive secretarial service to the clinical team and to support the ongoing development of the service as a whole.
The post holder will undertake general office duties including typing of medical and other correspondence. Occasional travel from the base in Oldham to Stockport may be required to support and meet the clinical team in their clinical and business meetings.
We are looking for someone who is friendly and approachable, with great communication skills, who can promote change and efficiency. As well as being a helpful team player, they will promote a flexible working approach. The postholder will liaise with their line manager to prioritise their workload.
- To provide a comprehensive admin service to the Multidisciplinary team for the Psychological Medicines Service Stockport.

To take telephone calls from patients and liaise effectively with the team about them. To make and rearrange appointments.
- Psychological Medicine services offer a specialist intervention for people with long term physical health concerns and atypical healthcare utilisation. - To support data collection and collation for the service. To assist in reporting key performance indicators for the pathway.
- Audio-typing, copy typing and shorthand of clinic letters (including both hospital and community clinics), community rounds, memo’s, court reports, discharge summaries, domiciliary visit consultations, medical and psychological reports, DNA letters, etc.
- Non clinical typing, in particular supporting the development of presentations using Power Point, and preparing training materials, minutes of meetings etc.
- Managing the service clinic electronic diary along with the diaries of other staff within the service, i.e. arranging meetings, clinical appointments, case discussions etc.
- To liaise with GP’s and other primary care staff, Talking Therapies, Primary and Secondary mental health services, social services and 3rd sector organisations, medical staff in other specialties and professional staff in other departments (i.e. X-Ray, CT scans, Path Lab, A&E, Referral Management Service, Crisis Resolution and Home Treatment Team, Psychology and Primary Care Team.
- To arrange domiciliary visit consultations, etc. - To arrange and co-ordinate training and supervision sessions provided by MDT staff.
- To deal with telephone enquiries from GP’s, patients, social workers, CPNS, ward staff, etc., regarding medication queries, appointments, referrals, etc.
- To deal with emergencies as required (i.e. telephone calls from distressed patients and distraught relatives)
- To open Service mail and deal with routine matters not requiring the team manager attention.
- Photocopying documents and letters as required (including case notes)
- To file correspondence in case notes in a timely manner, i.e. blood results, letters, ECG’s, CT brain scans, patient information, etc.
- To assume responsibility for patient’s case notes, ensuring that they are safely dispatched to wards, departments and other sites across the Trust footprint, as required.
- To maintain the electronic tracking system for case-notes
- Releasing patient information only to authorised persons.
- To collate information and present to the team as needed.
