**Job summary**
An exciting opportunity has arisen within the busy administrative team that support the Honiton Core Adult Mental Health Team. This is a busy and varied role where no two days are the same. You will get immense job satisfaction in helping colleagues and patients efficiently and compassionately. You will be supported and trained to reach your professional best, with opportunities for continuing development, training and career progression.
This is a part time role, working 22.5 hours per week. The post is a 16 month fixed term contract.
**There is a requirement to work on site due to the duties / responsibilities of the role.**
**Main duties of the job**
Answering busy incoming phone lines, you will be speaking to patients, professionals, carers and colleagues, recording information on to client records and directing enquiries where needed. We'd like you to be confident and experienced in MS Office including Outlook as you will process work from our shared inbox, creating and sending appointment letters, taking referrals, minute taking and booking appointments and meeting rooms to keep our team and office running smoothly.

**Knowledge and Skills**
**Essential**
- Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook and advanced keyboard skills
- Knowledge of a range of administrative procedures including diary management, arranging appointments and booking rooms
- Experience or understanding of creating electronic records and filing systems
- Ability to manage diverse workload whilst dealing with frequent interruptions
- Ability to meet deadlines and to work under pressure
- Exceptional organisational skills and ability to prioritise
- Ability to work both independently and as part of a team
- Ability to provide a high standard of secretarial support for meetings e.g. organising, booking venues and minute taking
- Knowledge of our business and how it supports patient care, and a positive attitude towards mental ill health and disability
- Excellent interpersonal and communication skills both written and verbal
- Able to deal confidentially and tactfully with people at all levels
- Ability to take and convey clear messages
- Experience in dealing with difficult situations (e.g. adopting calm and confident manner when dealing with people in distress)

**Qualifications**
**Essential**
- RSA 3 Word Processing - or equivalent level of experience in practice. NVQ3 in administration - or equivalent level administrative knowledge and experience.
- GCSE English or equivalent.
- Evidence of continuing professional and personal development.
**Desirable**
- ECDL (European Computer Driving Licence) - or similar.
- Audio typing or Shorthand/Speedwriting - qualifications or experience.
**Experience**
**Essential**
- Previous experience of working within an administrative or secretarial team
- Experience of dealing with confidential and complex information
**Desirable**
- Ability to take accurate formal and informal minutes
- Previous experience of working in a Healthcare or Social Care administrative setting
