The opportunity has arisen to join Alternative Heat’s Service and Maintenance Administration Team. We are a leading provider of renewable, low carbon commercial heating solutions and have a strong service and maintenance team comprised of field-based service and maintenance engineers and our office-based team covering our operation and maintenance contracts throughout the UK & Ireland

We have a strong and long-established client base consisting of Council Bodies, Housing Associations, Health Care Trusts and other commercial clientele. We have a vacancy within our head office team for a Service & Maintenance Administrator to assist with the processes involved in delivering our clients contracts.

**Role Overview**

As a Service and Maintenance Administrator, you will be responsible for coordinating the day-to-day operations of the service and maintenance team within the company. This role requires exceptional organizational, administrative, and communication skills to ensure smooth scheduling, customer service, and effective administration of service calls, maintenance tasks, and related processes.

**Hours** | **Monday-Thursday 8am-5pm and Friday 8am-3pm**

**Responsible to** | **Service & Maintenance Manager**

**Key Responsibilities**:

- Work with S&M manager to schedule planned remedial and reactive works.
- Schedule and dispatch engineers for routine maintenance, service calls, and emergency repairs.
- Monitor and track the status of ongoing jobs, ensuring that deadlines are met and client expectations are managed
- Ensure that all service reports are completed correctly and submitted to clients promptly.
- Generate weekly & monthly reports.
- Coordinate with engineers to ensure efficient time management and workload distribution.
- Manage and prioritize service and maintenance schedules, taking into account urgency and client requirements
- Assist in compiling and continually reviewing standardised workflows & process in line with departmental requirements and companywide Integrated Management System (IMS)
- General administrative duties.
- Any other duties deemed necessary by Management.

**Skills, Knowledge and Expertise**:
**Essential Criteria**
- Previous experience in a relevant job role.
- High attention to detail and accuracy
- Computer literate and proficient in the use of Excel
- Good customer relations skills and telephone manner.
- Proficient in the use of Microsoft Office & Outlook.
- Logical and sensible approach to daily tasks.
- Ability to work to deadlines and cope with a varied portfolio of work.
- Good interpersonal Skills.
- The ability to process a large volume of information timely and accurately.

**Desirable Criteria**
- Flexible and practical approach to daily tasks.
- Experience in Power Bi Software
- Ability to cope with the reactive nature of the role.
