**Job Summary**: We are seeking a highly organised and proactive **P.A & Property Administrator** to provide comprehensive administrative support and assist with the efficient management of our property portfolio. This dual role requires a versatile individual with excellent communication skills, a keen eye for detail, and the ability to manage diverse tasks to support both executive functions and property administration.
**Key Responsibilities**:
**Personal Assistant Duties**:
- Provide high-level administrative support to [Director/Senior Management, if applicable], including managing calendars, scheduling appointments, and organising meetings.
- Organise and maintain confidential files and records.
- Prepare presentations and other documents as required.
- Manage travel arrangements and expense reports.
**Property Administrator Duties**:
- Serve as a primary point of contact for tenant inquiries, maintenance requests, and general property-related communications.
- Assist with the onboarding and offboarding of tenants, including preparing tenancy agreements and managing deposit documentation.
- Maintain accurate property records, tenant databases, and maintenance logs.
- Process invoices, manage utility accounts, and assist with rent collection queries.
- Coordinate with maintenance teams and external contractors for property repairs and inspections.
- Assist with marketing and advertising vacant properties.
- Prepare and distribute notices to tenants as required.
- Ensure compliance with relevant property legislation and company policies.
**Qualifications & Experience**:
- Proven experience in an administrative or personal assistant role, ideally within the property or real estate sector.
- Strong organisational and time management skills, with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software.
- Experience with property management software (e.g., CRM systems, accounting software) is highly desirable.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Discreet and able to handle confidential information with integrity.
- Full UK driving licence (desirable, but not essential depending on travel requirements).
**Job Types**: Full-time, Permanent
