JOB PURPOSE Manage, supervise, and ensure all administrative demands are met within the divisional key performance measures and ensuring continuous process improvements are identified, implemented to improve patient service delivery. To ensure that the service is always covered or prioritised across all three sites. Ensure a friendly and professional ethos within the team/department for patients, internal departmental staff and external agencies. To act as an effective team leader; manage and co-ordinate clerical staff within the administrative service and be responsible for the day to day management of the therapies admin team.

Be responsive and sensitive to the service needs maintaining departmental targets and Trust expectations in line with the Departmental & Trust KPIs. Responsible for the maintenance of records/project plans/timescales and the distribution of relevant information in accordance with Trust policies and procedures. Using initiative, working autonomously in referring issues to other relevant parties as appropriate, ensuring confidentiality and security of information is always maintained whilst providing excellent customer service experience for all patients, and internal/external service users. Professional Act as a focal point for the clinical/management team.

This may require the use of tact, empathy, or reassurance skills. Persuasive skills are often required where agreement or co-operation is required in trying to avoid Trust complaints. To ensure a high standard of administration services is provided, and to make recommendations to the Service Leads and implement new developments of policies, procedures and guidelines for own area or contribute to other areas developments as requested. Maintain a professional appearance in line with the Trust dress code.

Uphold the Trusts values and behaviours (available on the Trust web site) and behave in a manner fitting with the post holders responsible position. Maintain professional and courteous working relationships with staff and respect the equality and diversity of each and every person they come into contact with in the course of their business. To ensure a comprehensive administrative service is provided to all staff of the team including use of relevant computer systems and complementary clerical routines. To ensure a comprehensive telephone service is provided to all staff and patients, ensuring that messages are taken and given in a consistent and efficient manner.
