Job Introduction
We have an exciting opportunity for an Office Facilities Coordinator to join the Rapport team based at our client office in Cheltenham, working closely with the sister office in London/Canary Wharf.
This is a full time permanent position, Monday to Friday 8.30am to 5.30pm.
Our client works collaboratively with external clients in order to solve their most challenging cyber-security problems, providing tangible improvements to their security. We are searching for a Facilities Coordinator who will join and be an integral part of the Business Operations team, leasing with the client on the daily activities and being in charge of the office’s smooth operations. We are looking for a resilient, self-motivated and quick thinker who loves diversity of tasks.
Main Responsibilities
The main responsibilities within this role are:
- Owning the day-to-day office activities, including the desk bookings, use of the meeting spaces and support systems to ensure the smooth running of the office
- Working closely with our client’s team in planning, coordinating and executing the services of in-house events, being in charge of any catering request
- Being an integral part of the team and the go-to person for internal and external clients or visitors
- Meeting & greeting internal and external visitors, including contractors
- Answering the main telephone line and filter inbound calls directing them where appropriate
- Responsible for daily office duties including milk and fruit deliveries, coffee machine related requests, stationery and refreshment orders
- Collecting and distributing post and deliveries
- Using initiative to provide new ideas and efficient processes to ensure the office experience is first class for both clients and colleagues
- Ensuring Health and Safety documentation and obligations are adhered to and in place, being the HSECE for the building (first aider and fire warden)
- Communicating effectively with other departments and service providers, creating a ‘one team’ approach
- Having a flexible and adaptable approach at all times when dealing with ad hoc duties as required
- Customer Service skills essential
