Administrator (Maternity Cover)

Adman Civil Projects Ltd is a dynamic Civil Engineering contractor based in Omagh, County Tyrone.
We are seeking to appoint an Administrator for approximately 1 year, to cover a Maternity Leave. The role provides administrative support to the Frameworks and Plant Departments, and report to the Project Manager in the Frameworks Division.
**Main duties**:
Update and maintain records as follows
1. Complete Out of Hours Report (Trackers) for the Plant Department on a daily basis
2. Update Site Inductions (CALMS) and chase up outstanding training records, forward to SHEQ Advisor; update training records to date file.
3. Complete equipment preparation for Site or Plant. Review equipment and Asset list for Site Vehicles
4. Prepare site folders: Print RAMS, Drawings, Daily Paperwork required by work squads and file in manual folders.
5. Update Framework folders on company filing system and sustain IQ data.
6. Collect Dockets for Plant and Material orders for Accounts. Review Weekly Plant / material charge report; Allocate Stock.
7. Compile Monthly report Appendix, run Tracker Reports for Plant - i.e. Lorries and Out of Hours.
8. Assist with Competency Management document control on Translink Frameworks
9. Assist Project Manager and H&S Advisor with compilation of H&S Documents
10. Collate weekly timesheets for direct employees and subcontractors and forward to payroll.
11. Assist with processing Invoices for Subcontractors.
12. Internal and External Plant Hire - Receive, create, Issue. Dispatch, commit & Off-hire purchase orders North & South Account.
13. Provide administrative assistance with event bookings including promotional / marketing materials.
14. Do vehicle runs and cover reception as required.
**Essential requirements**:
- Educated at least to A Level standard.
- A minimum of 2 years’ experience in a similar Administration role.
- Good organisational, time management and interpersonal/communication skills.
- Strong team player with ability to work to deadlines.
- Excellent attention to detail.
- Strong IT skills including Microsoft Office and Adobe packages
**Desirable requirements**:
- Experience in the Industrial / Construction sectors is advantageous
