GP Receptionist/Administrator Immediate Start

Temporary Position - 6 weeks

- Weekdays as follows:
Monday 9am-2pm
Tuesday 9am-5pm
Wednesday 9am-2pm
Thursday 9am-5pm
Friday 9am-2pm

We would like to attract one or more receptionists/administrators to our team and add to our current provision of care.

This role will involve working from our newest clinic in Omagh.

A Duality Healthcare Receptionist is the first point of contact a patient will have with our service. They will utilise their effective communication and people skills to welcome, support and facilitate the patient checking into the Practice.

The receptionist will assist with the smooth running of the reception area, waiting room and patient requests. All our receptionists provide phone support to our whole network of clinics and could be answering calls, queries and bookings regarding any and all of our clinics and services. The receptionist will ensure excellent customer service is provided to the patient throughout their contact with Duality Healthcare, maintaining confidentiality and being aware of the Data Protection Act at all times.

The role requires the staff member to develop a high level of familiarity of the working of our Network, signposting patients to the most appropriate services and locations as well as having a great phone manner and excellent IT skills - we utilise a computerised booking and medical record system.

The receptionist will also provide support for all clinicians to enable the effective day to day running of the clinic.

Detailed Duties:

- Opening and closing of Duality Health Premises, ensuring security of IT systems, money and activating the message system.
- Welcome, and receive patients professionally and in a courteous manner.
- Deal with queries effectively and efficiently in line with Duality Healthcare Procedures.
- Manage the appointment system by booking appointments for patients with doctors and other members of the primary care team, and cancelling appointments as requested.
- Take payment for appointments made over the telephone, or invoices accrued during their visit.
- Ensure security of data in accordance with the GDPR/ Data Protection Act / Information Governance, following the appropriate protocol for recording and management of same.
- Ensure the appropriate line-manager is notified of any refunds which require action.
- Answer telephone queries and make telephone calls to patients, as and when appropriate.
- To be responsible for diverting and restoring the telephone service and clinical system when required.
- Process repeat prescriptions as per clinical direction.
- Ensure the waiting room is kept tidy, clean and welcoming.
- To take, record and pass on messages accurately, for all staff within Duality Healthcare.
- Know how to operate all office equipment.
- Ensure the accurate maintenance of patient data, updating patient records as necessary.
- Work additional hours to cover other members of staff for annual leave and periods of extended sick leave.
- Be prepared to work additional hours on an ad hoc basis to complete specific pieces of work, as deemed appropriate by your Practice Manager or Clinical Director.
- Ensure all appropriate colleagues are aware of any information which needs to be passed from one shift to another.
- Actively engage in internal and external training, courses and meetings, as required.
- Offer refreshment i.e. tea and coffee as required.
- Any other duties deemed commensurate with individual skills and experience by your line manager e.g. Mentoring new staff

Duality Health was the first Private GP Clinic in Northern Ireland. Now Duality Healthcare, we provide appointments 7 days-a-week with appointments from 9am-9pm Monday to Friday, 9am-6pm Saturday & Sunday across our network.

We have clinics in Newry, Galgorm (Ballymena) and Omagh. 2024 will see the opening of further clinics in L/Derry, Belfast, Camlough as well as a Virtual Urgent Care & GP Provincewide offering.

Each Clinic has a team comprising of Lead & Associate GPs, NP/ANPs, Specialist Nurses, Admin Staff & work towards a model with Sonographers, Audiologists & other complimentary services.
