**Job overview**:
The post holder will be responsible for overseeing the scheduling and booking of chemotherapy appointments and treatments, ensuring requests are dealt with efficiently and in a timely manner and that Trust Cancer targets are met. Escalate any issues to the Admin Manager/Service Manager and/or Senior Nursing team as appropriate. Supervision of the Daycase and Outpatient admin team, to ensure the provision of a quality service.

The post holder will work closely with clinical colleagues to monitor and assist with the flow of patients and treatments for the unit.

**Detailed job description and main responsibilities**:
Responsible for the supervision of the Day Case and Outpatient administration team, this includes assisting the Admin Manager with the induction of new staff, return to work 1:1s and 6 monthly reviews

Responsible for co-ordinating requests and bookings of new and follow up treatments

Responsible for identifying potential breaches against Trust targets and taking timely action to avoid breaches

To be responsible and accountable for identifying and communicating potential problems at an early stage, liaising with non-clinical and clinical colleagues at all levels

To be responsible and accountable for cross checking Bookwise for forward planning and accuracy

To be responsible for completing the patients on the homecare Hizentra database

Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary

Working closely with Admin manager to identify appropriate training for staff, to facilitate improved performance and personal career development in accordance with Trust policy/procedures

Co-ordinate rotas to take into account annual leave ensuring adequate staffing levels are maintained at all times, escalating any shortfalls/problems to the Administration Manager

Give advice and support to staff in relation to Freedom of Information, patient confidentiality in accordance with current legislation

Responsible for management of KPI’s to support delivery of Trust Access Targets in line with departmental SOP’s

To work closely with other members of the multi-disciplinary team to ensure the best possible service is provided

Supervise the timely outcome of clinics

Assist the Service Manager with any CCG queries for outpatient and day case attendances

Support the Admin manager with managing sickness, including return to work interviews and assisting with recruitment, local induction and mandatory training

Responsible for conducting 6 monthly appraisal reviews

Undertake any other duties which may be reasonably required

**Training and Qualifications**:
**Essential criteria**:

- NVQ level 4 or equivalent or equivalent experiance
- Educated to GCSE with minimum C in English and Maths or equivalent
- IT and keyboard skills

**Experience**:
**Essential criteria**:

- Proven clerical experience
- Patient facing experience in NHS
- Experience of supervising a team
- Experience of Medway PAS, Notis, Bookwise and Microsoft, chemo care
- Possess a thorough understanding of the patient focussed care concept and customer expectation

**Desirable criteria**:

- Working in a multi-disciplinary team
- Experience of booking treatments on Bookwise
- Experience of medical terminology

**Communication and relationship**:
**Essential criteria**:

- Experience with sensitive situations
- Experience of dealing with distressed or aggressive people
- Must be able to clearly and accurately convenvey information verbally to different audiences
- Must be able to adhere to confidentiality at all times

**Analytical and Judgement skill**:
**Essential criteria**:

- Ability to recognise and advise senior managers on operational issues affecting waiting lists, Daycase schedules and capacity
- Ability to suggest solutions to complex issues
- Ability to exercise judgement and initiative when dealing with urgent enquiries and knowing when to escalate
