The Biscuit Factory is the UK's largest art, craft and design gallery, with an onsite café and multipurpose event and venue hire facilities. As Wedding & Event Sales Coordinator you will be tasked with managing all types of events. This is an exceptionally exciting time for the business as we approach completion of a new, extremely unique and visually stunning venue space - The Garden Room - a triple height, tree and plant filled conservatory style room.

This position exists to ensure that an excellent experience is achieved for all people who enquire or proceed to book an event at The Biscuit Factory. We have spaces to suit events from 8 delegates in a meeting room, to 300 dinner guests in The Biscuit Room. Professionalism and personality is paramount at all times to maintain the reputation of The Biscuit Factory as a first class wedding and events service.

You will play a pivotal role within the Events Team, reporting to our Events Manager and working to maximise venue hire sales and selling the brand new venue, whilst balancing floor operations with administrational duties and utilising a high degree of organisational skills to ensure the smooth running of all bookings.

We are a small team and you must have the confidence and knowledge to 'hit the ground running' and drive your career in a fast paced, unique and highly respected venue so previous experience in this type of role is essential.

**Job Specification**

**Sales**:
You will be required to maximise revenue opportunities by driving sales leads and increasing conversions. You will interact frequently with clients and potential clients with the intention of earning repeat and expanded business. The team work collectively to reach sales targets and some of the duties you would be expected to carry out to achieve this include:
Responding to all incoming queries in a timely and professional manner, providing relevant information and quotes as necessary

Arrange and carry out venue show-arounds

Building relationships with prospective and existing clients to ensure their needs are met and opportunities for further sales are identified

Following up on open opportunities and maintaining contact with prospective clients to give the best possible chance of winning their business.

Proactively sell by prospecting past clients and leads that did not previously convert to sales

Identify and consistently take opportunities to upsell existing event bookings, and cross sell other services within both the events department and The Biscuit Factory as a whole

Work to maximise yield through efficient diary management, scheduling appropriate events in the appropriate spaces.

**Event Planning and Team Liaison**:
You will be expected to listen to client requirements and translate them into operational instructions for various colleagues and departments to ensure a successful event delivery. Excellent organisation, communication and record-keeping is essential, as well as the ability to maintain attention to detail and ensure high standards are delivered.

Administrating, coordinating and overseeing the delivery, preparations and on the day execution of weddings and events in line with client requirements

To carry out events administration through our “iVvy venue management & CRM software” in a thorough and timely manner.

Create accurate invoices and chase aged debtors as necessary to ensure cashflow into the business is maintained.

Attend weekly team meetings, to coordinate with F&B and Operations teams, and pass on detailed ‘Banquet Event Orders’, floor plans, menus and dietary requests, final timings and all other event specifics.

Communicate and liaise effectively with catering departments regarding event requirements.

Communicate effectively with Gallery and operational staff regarding event arrangements.

Communicate effectively with Accounts team regarding payment schedules & invoices.

Have the confidence to suggest and implement improvements within the documentation and processes for the events service.

**Marketing**:
Marketing strategy is developed and implemented by the Strategy and Communications Manager and Digital Marketing Coordinator, in liaison with the Events team. As the point of contact with clients and suppliers, and as an expert in your industry, you will be expected to:
Assist with the development, maintenance and review of marketing content for the Events Team through:

- obtaining access to professional photography from events with documented permissions for use in marketing
- Be aware of current marketing campaigns and provide feedback to DMC of noticeable r
