Overview:

In addition, Board Tribunals have the power to direct Scottish Ministers to release life sentence prisoners on licence. The PBS is independent of Scottish Ministers and comprised a Chairman and members who are public appointees. Parole Scotland supports the Board in their function and you will be part of a team assisting in providing a central administrative support point for the Board and Senior Management in PBS relating to the management of offenders who are in custody and in the community.

This is an interesting and high profile area of work and it should be noted that you will have to read documents which may contain distressing, disturbing and sensitive details of crime.

**Responsibilities**:

- Confidently liaise and develop good working relationships with internal and external stakeholders including Parole Board members, Police Scotland, Scottish Prison Service (SPS), Solicitors, Prisoners, Community Based Social Workers (CBSW), Crown Office Procurator Fiscal Service (COPFS), Clinical teams, Senior colleagues and Risk Management Authority demonstrating the ability to respond appropriately to various requests both verbally and written.
- Uploading of dossiers from the Prisoner Parole Dossier Service (PPDS), reviewing and updating content of prisoners’ dossiers with late and/or additional information from prisons and social work to deliver and meet key targets and critical dates with minimum supervision. Refer these key documents to the Parole Board members timeously to consider when the case is be considered for Parole.
- Constant monitoring of the team mailbox ensuring all correspondence and tasks on all cases are actioned within required deadlines as some information may need to be actioned that day, while other information may not be required for a few weeks in advance.
- From the internal Casework Management System, prepare, check and issue Tribunal and Oral hearing notifications and Witness Citations to all relevant parties, including members, prisoner, solicitors, social work and prisons within agreed timeframes.

1. Excellent administration and organisational skills with the ability to work using our own initiative and to prioritise and plan your work in a demanding environment.

2. Strong verbal and written communication skills, with the ability to build good working relationships with both internal and external stakeholders and confidence in dealing with a range of people at all levels.

3. Proven track record of working effectively as part of a team, ability to work effectively in a changing environment, demonstrating flexibility and contributing to overcoming challenges.

4. Proficiency in the use of Microsoft Outlook, Word and Excel.

The responsibility of these posts has changed in recent years as a result of Parole Board members seeking more in-depth evidence from a range of stakeholders in addition to the drafting and issue of witness citations.

As a result of recent Victim and Witness Legislation a dedicated team has been established within Parole Scotland to support victims in their involvement with the Parole process. The successful applicants will work closely with the Victims team.
