The College Administrator will have have the key (and privileged) role of engaging with our amazing staff and wonderful young people on a daily basis. This is key role as the post-holder will be a culture setter for everyone who enters ELAM and they will support the smooth running of many of our systems and processes.
**The secure management of administrative support for the College**
**Reception support**
- Oversee management of Trainee/staff/visitor information including ensuring visitors are safely accommodated and compliant with Safeguarding protocols.
- Maintaining and printing supplies related to staff, trainee and visitor ID cards.
**Managing staff data**
- Input, maintain and update staff data onto MIS
- Ensure all staff absences, training and any other relevant data is updated regularly
- Responsible for staff workforce census and other LA/DFE returns as directed and supported by the HR and Operations Manager
**Manage the Trainee reporting process**
- Provide support for the export and printing of Trainee reports from the MIS as required and directed by SLT
- Monitoring of attendance on the MIS for both am and pm sessions whilst liaising with curriculum leaders as appropriate in the absence of the Trainee Attendance Officer
- Telephone Trainees as a first point of contact for any absences followed by parent/carer in the absence of the Trainee Attendance Officer
**General administrative duties**
- Prepare and send letters to parents/carers when required on behalf of the Principal / SLT
- Provide general administrative support to the Principal and SLT
- To record ad hoc minutes for meetings as and when required
- Supporting at ELAM events such as performances and open evenings.
- To be the first point of contact for enquiries concerning the letting of ELAM's facilities, being able to deal with basic information on the venue, what is available and when.
- To be the first point of enquiry for admissions queries, being able to talk in general about ELAM and pass enquiries to the right person.
- To deal with all incoming and outgoing post.
- Providing proof of Trainee status letters for parents/trainees
- To support the Marketing Lead with administrative elements of marketing such as mail outs, ordering and sending out prospectus.
**Examinations**
- Enter Trainees for examinations in a timely and efficient manner with the support of the HR & Operations Manager and/or SLT
- Support the conduct of examinations and the security of examination papers to ensure full compliance with examination board regulations
- Collect and collate achievement data to enable the College to measure performance
- Maintain accurate up-to-date records of examination entries, timetables, attendance, results and achievement data using electronic data systems to ensure efficient and effective management and reporting data
**Finance**
- Handling of petty cash and keeping accurate records of any expenditure
- To order stationery and other supplies and check off deliveries against delivery notes and invoices, informing staff of arrival
- Health & Safety
- To maintain fire registers in case of evacuation as directed and supported by the HR and Operations Manager
