Advance Tapes International LTD is looking to recruit a Part Time Administrator to work with in our established tape manufacturing site in Leicester LE4. To assist the HR department by providing comprehensive HR and general administrative support

** This is a 7-month Maternity cover **

**Sift Pattern**:
Flexible hours 25 hours per week

**Pay rate**: Competitive based on experience Pro Rota 23K/year

**Essential Requirements**

Experience of working in an HR environment

An understanding of HR processes

Excellent verbal communication skills, articulate, well-spoken and with a personable manner

Excellent written communication skill

Maintains a high degree of confidentiality and strong attention to detail

Able to work as a team member

Excellent organisational skills and able cope with a variety of simultaneous tasks

An excellent level of computer knowledge - Including all standard MS Office programmes

An awareness of the functionality of an HR database

Confident to explore new ways of using technology to improve systems

Accurate data entry and administration skills

Ability to work well under pressure to achieve deadlines

Willing to undertake training to develop HR skills

**Desirable Requirements**

2 years experience working as an HR Administrator

Foundation Certificate in People Practices

Advanced Excel skills

Experience of working with HR databases, inputting, and manipulating data and providing reports

**Responsibilities**:
**Recruitment and Selection**
To carry out necessary administration processes in the recruitment process, including but not exhaustive:

- Ensure vacancy documentation is completed, authorised, and returned prior to the recruitment process commencing
- Assist the recruiting Manager to formulate the recruitment timetables
- Place adverts
- Liaise with manager regarding shortlisting
- Issue rejection letters and/or inform agency of interview outcome
Maintain and update the temporary staff tracker in liaison with Production Team Leaders

**On-boarding and Induction**
To administer the process for new employees including but not exhaustive:

- Liaise with Line Manager to ensure the induction tracker is completed and support the Manager to prepare the induction timetable
- Prepare induction and offer packs for new starters for checking and distribution by HR Apprentice
- Ensure all necessary employment checks including right to work, qualifications, medical checks and references are received and in order
- Add new starter to induction/probation tracker

Update and monitor progress of new starter induction, objective setting and reviews weekly on tracker and prepare monthly report

Update and monitor progress of internal moves and promotion induction, objective setting and reviews weekly on tracker and prepare monthly report

Ensure all inductions, objectives and probation reviews are set/carried out on time and signed off by Manager and employee
**Appraisal and Staff Development**
To assist with the annual appraisal cycle, track completed appraisals

To record external training courses identified and advise HR lead of requirements by department

To ensure Managers complete appraisals in time, supporting the Managers as necessary and escalating any issues or concerns to the HR lead to address

**HR Database and Reporting**

To be primary contact for queries on attendance and HR software

Create new starter folders on network and HR software

Send weekly exceptions to Managers, follow up as necessary and update database

To be system administrator for the HR and attendance software, configuring the system as required, controlling all user access, ensuring accuracy of data and compliance with data protection. Escalate queries to the HR Apprentice

Ensure the HR and attendance software accurately reflects current employees details.

Provide appropriate reports from the HR and attendance software as required

**Leaver Administration**

To prepare and distribute resignation acceptance correspondence and arrange leavers interview

To remove leavers from database, BHSF, OHN and other systems

To arrange leavers feedback meetings for HR Apprentice to conduct

**General HR Administration**
To provide day to day advice to Line Managers and employees on general HR administration related queries, escalating more complex issues to the HR Apprentice or HR lead

To contribute to Company updates

To undertake specific duties as defined by the HR lead

To administer Employee of the Month

To administer long service awards

To distribute payslips

Preparation and organisation of internal notices as and when required

To follow relevant Standard Operating Procedures (SOPs) documented in the Business Management System (BMS)

Carry out general administration tasks for the business including but not exhaustive, sorting post, answering the telephone, ordering stationary, maintaining and updating notice boards, welcoming visitors on site
