HR Assistant

My client is a nationwide fleet management company looking for an HR Assistant to join their team.
The Main Purpose of this role is to:
Assist the HR Manager with the delivery of the people strategy to meet organisational and departmental objectives and to actively support the operation of the business by delivering an effective, proactive and professional HR service.
Develop and maintain productive and collaborative relationships with employees, managers, suppliers and other third parties demonstrating professional credibility at all times and providing an excellent HR service to the business.
**Accountabilities**
Recruitment and Retention
In conjunction with the HR Manager:
- Co-ordinate recruitment and selection activities, including liaising with recruitment agencies and other suitable sources, updating the HR System, liaising with applicants and managers, ensuring that costs are minimised and all stages within the SelectionProcess are undertaken in a timely manner
- To carry out interviews (where appropriate) together with managers, senior management and HR Manager, ensuring that the Recruitment Policy is adhered to at all times and that the Company is presented as an employer of choice
- To manage the new starter process including Contract Pack preparation, background screening, preparing induction folders and creating role specific familiarisation programmes with the manager
- Carry out the HR 3 month review process with employees and ensuring that end of assessment period process is carried out by managers in a timely manner and any performance issues are dealt with in advance
Reward, Reporting and Payroll Management#
In conjunction with the HR Manager:
- To process monthly payroll which will include liaising with the payroll bureau regarding all payroll adjustments and queries. Ensuring that payroll adjustments are accurately reflected in the HR system
- Liaise with benefit providers and brokers to ensure that employee information is accurately maintained and audited, timely notification is given regarding starters and leavers and costs are managed
- To support the HR Manager in the annual salary review and bonus process
- To undertake regular salary reviews and benchmarking exercises to ensure that the Company rewards its employees fairly, that salaries are internally equitable as well as competitive in the marketplace at all times
- To maintain and update employee records, electronically ensuring accuracy of data and that it is updated and securely filed in accordance with the Data Protection regulations and legal requirements
Employee Relations
In conjunction with the HR Manager:
- Work with managers in a consultancy role to ensure that HR policies are implemented fairly and consistently and that the core values of the Company are upheld and to promote and maintain fair and reasonable standards in the treatment of people at all times
- Provide advice and guidance to managers to support them with any issues such as poor performance, flexible working requests, attendance management to improve their independence and management skills in these areas
- Assist in staff absence processes in relation to holiday reconciliation, maternity, adoption, parental, paternity and shared parental leave ensuring staff and managers receive appropriate documentation and are advised on entitlements etc.
- Manage all long term absence. To include regular contact with employees, advising them of their entitlements and where appropriate arranging independent medical assessments
- To undertake the leaver process including arranging leaver surveys and distribution of results
Saftey, Health, and Environment
In conjunction with the HR Manager:
- And in conjunction with the HR Manager ensure that employee risk assessments are carried out in a timely manner for pregnant women, display screen equipment, long term absence returners, employees suffering from specific medical conditions etc.
- Arrange external health surveillance checks for technical staff and maintain records
- And in conjunction with the HR Manager ensure accident reporting meets RIDDOR requirements and investigations are carried out as required
Learning and Development
In conjunction with the HR Manager:
- Provide support for the Company Performance Management Review Scheme, ensuring that learning and development needs identified during the process are followed up and actioned with managers within budgetary constraints
- Monitor and report on all learning activity employee evaluations undertaken in order that all activities meet the requirements of the individual and the Company
- To assist with monitoring and organising employee learning activities including responsibility for the HR library and on-line employee training activities ensuring that management authorisation is obtained, costs are minimised and budgets are maintained
HR Policy and Complience
In conjunction with the HR Manager:
- Support and contribute to the planning and implementation of the Human Resources strategy and policy
- Assist in the development of allocated policies, procedures, guidance and other documents to reflect HR policy arrangements, ensuring compliance with legislation, organisational fit and best practice
- Assist in maintaining a network of internal and external contacts and to research best practice in order to bring forward ideas for continuous improvement in relevant policy areas
**Requirements**:
- Some previous experience at HR Administrator level
- Ability to use a HR information system including, accessing, inputting, and compiling data
- Able to demonstrate effectiveness in contributing to a small team, including the capacity to review and improve workplace practices
- Experience of payroll management is desirable
- Knowledge of relevant HR policies, procedures and best practice combined with good knowledge of employment legislation
- Able to drive and willing / flexible to travel to other site location (Hertfordshire)
