**Job Summary**

This is a remote role for an Executive Assistant at Rein4ce. The Executive Assistant will provide executive support, handle expense reports, and manage communications on a day-to-day basis. The role involves assisting senior management, coordinating schedules, and ensuring smooth operations.

You will primarily offer executive support for our CEO and support the senior team on their projects. You will also actively participate in identifying business process improvements.

All Rein4ce colleagues work from home, but we hold regular team and client meetings in the City of London and travel overseas when required to meet clients and attend conferences.

Rein4ce uses Microsoft Office, Capsule CRM, and Paymo. We communicate through Teams, Zoom and Skype.

We can offer more flexible work hours over 4-5 days per week alongside an attractive salary and benefits.

**Qualifications**
- Executive Administrative Assistance and Executive Support skills
- Experience with managing expense reports
- Strong communication skills
- Administrative assistance proficiency
- Excellent organisational skills
- Ability to work independently and remotely
- Experience in the public relations or insurance industry is a plus
- Bachelor's degree in Business Administration or related field is a desirable

**KEY RESPONSIBILITIES**

**Executive Support**
- Gatekeeping CEO’s calendar, including scheduling internal and external meetings.
- Books rooms and restaurants for CEO meetings.
- Coordinating business travel, including booking transport and accommodation when required and preparing itineraries.
- Fills out expense reports and other paperwork on behalf of the CEO.
- Schedules meetings, prepares agendas and takes notes at meetings and archives proceedings.

**Administrative Duties**
- Implements administrative projects, systems, procedures, and policies, maintaining continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs.
- Maintains administrative workflow by studying processes, implementing cost reductions, and developing reporting procedures. Guides employee actions by researching, developing, writing, and updating administrative policies, procedures, methods, and guidelines and communicating developments to management.
- Creates and revises systems and procedures by analysing operating practices, utilising computer systems and software, and implementing changes by researching and developing new services and methods, setting priorities, and problem-solving for workflow issues.
- As liaison with technical support partner for office equipment and cross-company system issues, resolving administrative problems by analysing information and identifying and communicating solutions.

**Finance Support**
- Pays vendors, maintains facilities and office supply budget, and oversees other expenses necessary for day-to-day administrative operations.
- Managing office expenses, including insurance claims, professional liability insurance, and other credit card expenses for all team members.

**Other Duties**
- Assists in the recruitment and induction of new team members.
