Operations Administrator

**Role Overview**:
In this role, the Operations Administrator will be responsible for the administration within the Facilities team, whilst supporting the SHEQ department with day-to-day tasks. The Operations Administrator will be required to liaise with both internal and external parties to ensure Quality, Safety, high standard facilties and best practices throughout Protektor Group.
**Duties**:
- Review daily alarm reports and raise any queries to the SHEQ and Facilities Manager.
- Liaise with the Maintenance team to schedule in work.
- Assist with inspections from suppliers and contractors, and mandatory facility surveys.
- Purchase consumables to cover orders of paper products/cleaning supplies/ facilities / ancillary items.
- Informing the SHEQ & Facilties manager of any COSH assessments which need to be completed.
- Carry out DSE assessments for employees, (training will be provided).
- Cover for the SHEQ and Facilties Manager when on leave, to provide H&S inductions and emergency facility support across the Group.
- Liaise with the Maintenance team for any drainage issues across all sites - looking for solutions/liaising with drainage contractor.
- Maintain the supply and use of visitor books, badges, lanyards, hi vis, PPE etc.
- Maintain register of PPE issued out.
- Organise and liaise with the sanitary product provider to ensure all units are presentable and cleaned regularly.
- Liaise with employees and our cleaning supplier to ensure areas are clean and consistency is followed.
- Where necessary arrange additional equipment for building maintenance - scissor lifts, MEWP etc.
- Handle drinking water provisions across the group - water boilers & water coolers.
- Maintain the display of certification in all company buildings.
- Source and purchase ancillary items as needed.
- Deal with pest control requirements (wasp nests, dust mites, rodents etc).
- Assist with the purchase of safe site signage and maintenance of this items.
- Obtain quotes for contractor work as required (Flooring; blinds; drainage; signage)
- Maintain safety consumables (fobs, batteries, replacements etc)
- Deal with annual servicing of heating across all sites/maintenance of/appropriate certificates on file.
- Liaise with the Maintenance department for smooth programme of annual PAT testing.
- Assist with working condition of the company defibrillator / first aid / fire requirements by purchasing consumables where required.
- Ensure Fire Alarm testing/emergency lighting testing are completed and recorded.
- Provide documentation for sales team customers re ISO accreditations, H&S policy, accident/near miss data, environmental policy Quality policy, Anti-bribery policy etc.
- Update the H&S spreadsheet for Incidents / Near Misses.
- Take minutes at various meetings, type up, and distribute as necessary
- Support our colleagues with any Mental health issues that may arise.
- Send out contractor paperwork, and update approved contractor listing accordingly once approved.
- Issue permits to work, hot work permits, rules for contractors
- Arrange refresher training courses for Fork Lift Truck, First Aid, Mental Health First Aid, Fire Marshals.
- Liaise with our occupational health nurse to provide appointments for employees and ensure paperwork is completed.
- Liaise with the HR department for any training requirements.
- Carry out admin and filing tasks for the department and Operations Director as required.
- Any other duties deemed suitable by your line manager and required by the business.
**Area of responsibility**:

- The work that you undertake is of a high standard.
- You must be polite and helpful to any visitors to the Company premises, ensuring that a good impression is given of Protektor Group UK Limited and its staff.
**Qualifications/Training**:
- Full understanding of Company and Health & Safety policies.
- The ability to work as part of a team to achieve the aims of the Company.
**You are required to**:
- Follow all Health and Safety rules as laid down by Protektor Group UK Limited.
- Maintain confidentiality whilst dealing with information of a sensitive nature.
**You will have**:
- Good Microsoft skills, including but not limited to Microsoft Excel, Powerpoint and Word.
- Outstanding attention to detail and organisation skills
- Ability to communicate with people at all levels.
- Experience in a Manufacturing, Safety, Facilities or Operations environment would be desirable.
- Flexibility to react to situations as they arise
