**Personal Assistant / Senior Administrator / Executive Administration Assistant**who has previous experience within a senior administrative function with excellent planning, organisational, time-management and communication skills is required to support the Chief Executive Officer / CEO for a well
- established and leading businessconsultancy services based in Sutton Weaver.
Our client is a well-established and expanding international business. Based in modern offices, the company provides a supportive working environment.
The main purpose of the Executive Assistant is to perform secretarial work and provide the Managing Director/ CEO with day-to-day administrative support. To also provide specific admin duties for the company.
**Key duties include**:
- Provide a comprehensive and fully confidential clerical and personal assistance service to the Managing Director.
- Answer and field any requests and queries appropriately and confidentially.
- Manage the MD’s diary effectively allowing travel time and appropriate red time allocations.
- Travel and accommodation management for the MD and Directors.
- Co-ordinate and organise meetings, conferences, and executive team meetings both in person and virtually.
- Prepare meeting agendas, minute taking and proactive diary management.
- Collate information, statistics, reports, presentations, and briefs where required.
- Devise and maintain filling systems, scanning, and printing requirements.
- Process billing and expenses /mileage claims for submitting to the accounts department on a monthly basis.
- Office facilities - i.e. stationery and supplies
**Executive Assistant Specification**:
The ideal Executive Assistant will have:
- Strong verbal and written communication skills
- Pro-active, solutions focused and able to think outside the box, with confidence to ask questions where necessary.
- Comfortable with technology, with a superior knowledge of Word, Excel, Outlook and PowerPoint to manage data and produce flawless documents and presentations.
- Exceptional organisational skills and an eye for detail
- Accurate keyboard skills as well as good numeracy and literacy skills with the ability to multi-task
- The ability to plan your own work, use your own initiative and go the extra mile to meet deadlines.
- The ability to read, analyse and distil information (including accepting and understand instructions)
- A likeable team player, with a desire to succeed and a willingness to assist regardless of the task 3+ years’ experience in a similar role
