**Administrative assistant**

**Job description**:
A Full time position in a fast paced and fast growing construction company based in Clifton, Bristol are looking for an experienced Administrative assistant.

The Administrative assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supporting the inhouse estimators, on site operatives, Managers and employees through a variety of tasks related to organisation and communication.

**Responsibilities**:

- Answer and direct calls
- Booking teams/zoom conference calls,
- Organize and schedule appointments and meetings
- Maintain contact lists
- Produce and distribute correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain the manual and digital filing system,
- Setting up site files. Photocopy, printing and cross referencing documents
- Order office supplies, maintain supplies
- Book travel arrangements, taxi, hotel, congestion charges etc
- Provide general support to visitors
- Provide information by answering questions and requests
- Note taking in meetings / dictation
- Generate reports
- Handle multiple tasks / projects
- Prepare and monitor invoices
- Placing material orders, monitoring receipt, checking and dispatching
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Coordinate office procedures
- Develop and update administrative systems to make them more efficient
- Receive, sort, and distribute the mail
- Greet and assist visitors in the office
- Implement clerical duties and administrative processes
- Conduct data entry

**Requirements**:

- Proven admin or assistant experience ideally in the construction industry
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organisational and planning skills
- At least 3 years of experience in the construction field or in a related area
