About the roles:
The administrative resource unit (ARU) is a large team of professional administrators who provide a range of admin support across the organisation. Although you will be based in one directorate, the ARU is a flexible resource, moving to meet business need and adding variety and skills to the day job.
The ARU is committed to working flexibly and moving people to work in different teams and on different assignments, in order to develop an individual’s skills and experience, improve communications across teams, and to ensure that as the OfS’s priorities change, resources are allocated appropriately.
Team Administrator
You will initially be based in one directorate and may move around to meet business need. Movement to different assignments will take account of your competencies, knowledge and preferences as well as the needs of the organisation, and the need for some team stability.
Project Support Administrator
The role of the project support administrator is very similar to the team administrator, although you will be assigned to specific teams and areas of work. Project support administrators will be more proactive in their performance, reminding individuals about deadlines, writing guidance and processes and helping to keep projects on track.
Areas of responsibility may include:
Providing administrator support to team members, ensuring that:
- travel and accommodation are organised
- telephone calls and post are answered and dealt with as appropriate, taking the initiative in prioritising, channelling and processing correspondence and messages
- queries are responded to
- events are organised
- meetings are attended and minutes taken as required
- internal stakeholders are engaged to ensure that administrative support is provided as required
- internal and external stakeholders are engaged to organise events and meetings
- following processes and polices.
About you:
The key person attributes we look for in both these roles include:
- office experience including confident use of standard software and business processes (experience of the MS Office suite); Word, Outlook, Teams, Excel
- experience managing office records;
- customer service focus (internal and external);
- budget administration; and planning and time management skills.
- ability to quickly understand the purpose and objectives of specific projects within the work of the directorate and of the OfS;
- experience working as part of a team to deliver a time-bound project is an advantage.
