We are seeking a dynamic **HR Administrator** self-starter to join our impactful Human Resources team in the heart of Glasgow. As a highly organised and business-minded individual you be pivotal in delivering a wide variety of personnel-related administrative tasks. From accurately maintaining crucial records, supporting employee on-boarding and off-boarding through to guaranteeing the seamless operation of our HR department, we promise you that no day will be the same.

You will be the first point of contact for many queries and be able to respond appropriately, providing information, or escalating the query to the relevant colleague where it is out with their remit. Providing ad hoc administrative support to our HR Advisors, HR Director and other team colleagues as required which may include note taking, preparing correspondence, creating documentation and updating records. _Our Glasgow, Head Office team assist 37.5 hours per week, Monday to Friday. _

**Key responsibilities may include, but are not limited to**:

- Maintaining HR systems, employee records and ensuring data is accurate and up to date, highlighting any issues and seeking to resolve promptly.
- Managing the administrative process for one to ones and appraisals, ensuring completion, and reporting any issues or non-compliance to our Advisors or Director as required.
- Managing the administrative process for Probation Reviews, ensuring completion, issuing correspondence, and reporting any issues or non-compliance to our leadership as required.
- Manage the administrative process for all types of leave and sickness absence for all employees, including managing an annual leave audit process.
- Create and produce correspondence as required, ensuring accuracy and adherence to brand standards.
- Partner closely with payroll colleagues ensuring monthly changes and queries are resolved timeously and in line with the payroll timetable, escalating any issues as required.
- Support learning and development activities, as required, including ad hoc administrative support to the Learning and Development Manager and our Coordinator during periods of leave or high demand.
- Support Talent Acquisition processes, as requested, including recruitment and selection activities such as phone screening or preparing selection materials.
- Lead on smaller projects and continuous improvement activities relative to the seniority of the role.
- Manage the administrative process for all HR documentation, highlighting review dates to the relevant owners, maintaining records, ensuring documents adhere following Laings branding guidelines and version control is managed effectively.
- Minimum of two years’ experience in a HR or Recruitment related administrative role.
- Excellent communication skills and excellent interpersonal skills, adapting style accordingly.
- Demonstrated strong attention to detail, ability to identify issues in data and resolve accordingly.
- Flexibility as a team player who thrives in environments requiring the ability to prioritise and juggle multiple priorities effectively.
- A strong focus on continuous improvement and embraces opportunity to assist on projects that contribute to improved business outcome.
- An enthusiasm to embrace change.
- Ability to work effectively under pressure and manage workload.
- Demonstrated ability to understand when confidentiality and discretion must be applied.
