Executive Personal Assistant to CEO

A highly regarded education setting has a superb opportunity for an experienced, confident, well organised, and competent Executive Personal Assistant. You will provide a high standards of professional and confidential administrative support to the ChiefExecutive and central administration team. **Executive Personal Assistant to CEO - About The Role**
**Diary Management**:
- Proactively manage the CEO and other members of the central teams’ diaries.
- Arrange regular meetings.
- Organise and arrange events.
- Produce a weekly itinerary & prepare colleagues for meetings.
- Organise travel arrangements to ensure value for money and best use of time.
**Meetings**:
- Prepare agendas, attend and record minutes for meetings as directed by the CEO.
- Prepare and track actions and follow up on outstanding actions in advance of meetings.
- Prepare rooms for meetings and welcome visitors.
- Where appropriate book meeting rooms and set up / clear away refreshments.
**Administrative Support**:
- Oversee the operation of the central team’s office, book meeting rooms.
- Screen phone calls, direct calls and take messages as appropriate.
- Oversee all postal matters including; franking, couriers and sufficient stock.
- Monitor several mailboxes.
- Respond to communications on behalf of the Chief Executive and central team.
- Research and collate statistics, create presentations, and collect information to ensure the central team is fully prepared for meetings.
- Prepare monthly expense claims.
**The successful Executive Personal Assistant to CEO will have**:
- Experience in an Executive Assistant to CEO role.
- Excellent standards of accuracy.
- Discretion.
- Trustworthiness.
- Outstanding communication skills, verbal and written.
- Able to work under pressure and to deadlines.
- Proactive mindset, motivated, calm and show initiative.
- Able to manage time, multi-task and prioritise tasks.
- Excellent IT skills: Word, Excel, PowerPoint, Outlook, Google drive, Google classrooms. IPad proficient or willing to learn.
- Experience of using a range of social media channels consistently and for high impact.
- Patient and resilience.
- Excellent customer service, negotiation and communication skills.
In addition, there are many communication strategy & deliverables of a creative nature to be undertaken.
