My client is looking for an experienced secretary supporting a busy department in a law firm.

The purpose of the role is to provide secretarial support of the highest standard to the fee earners through fast and accurate typing, organisation of appointments and diary management, keeping records up to date, attending our off site storage facility to obtain files and personal documents, updating clients on matters, preparing bills and taking payments and general secretarial support for all fee earners.

- Preparation of correspondence and documents through audio typing and word processing
- Maintaining storage records of personal documents (i.e. Wills and LPA’s)
- Maintaining diaries and making appointments for fee earners
- Daily filing including file opening, closing, storage and retrieval of client files.

- Liaising with clients in person and by telephone in a professional and friendly manner in keeping with the firm’s standards for client care.
- Preparing fee earners files and papers for client appointments.
- Attending on clients with fee earners to act as witness where required.
- Arranging mail despatch by post, hand or Document Exchange
- Liaison with clients, third party solicitors, appropriate barristers, experts, hospitals and other agencies on behalf of fee earners
- Organisation of the necessary payments and receipts on each matter in conjunction with accounts.
- Using best endeavours to assist fee earners attain annual team fee and billable hour’s targets.
- Observation of practice procedures in respect of client care.

- Working with a computerised case management system - Partner and PROCLAIM would be an advantage.

- An empathy for, and understanding of, the problems faced by our clients;
- An ability to work under pressure, and to respond to crises;
- An ability to work both within a team and on your own initiative;
- An ability to manage your typing efficiently, competently and cost-effectively;
- Be PC literate having a basic knowledge of the Office Suite (Word, Excel, Outlook)
- Excellent telephone manner
- Excellent customer service skills
- Good organisation skills, excellent written and verbal communication
- Good fact finding ability and an eye for attention to details
- Develop and maintain excellent relationships; internal and external.
