Project Coordinator/ Planner

An exciting opportunity available for a Site Service Project Planner to join our team. This role will work within our WA Site Service team and is responsible for planning, coordinating and managing field service jobs and enquiries from initial enquiry to completion. The primary focus of this role is to plan, develop and monitor the delivery of preventative maintenance programs for external FLSmidth clients that aligns with FLSmidth’s customer service strategies.
Job Responsibilities
- Coordinate with the SSWA Logistics Officer/Team regarding the required safety consumables and tooling and ensure they are delivered to site for the works and demobilised after the completion of the works.
- Attend/assist quotation compilation and be responsible for the input of required information as required to assist with Client Contract administration
- Maintain proper forecasting levels to ensure field service demands are met and measures forecast accuracy.
- Coordinate with the SSWA Resourcing Team, labour availability in conjunction with the Field Service Regional Coordinators to maximise labour availability (staying within utilisation guidelines).
- Assist the P&E team with estimates and schedules to complete the works, and determine manning requirements.
- Formulate tooling and equipment requirements and obtain quotations/availability and delivery.
- Collate components required to complete the works and ensuring they are available in the timescale required either through spares held on site or making alternative arrangements through company spares departments.
- Coordinate all Administration and Reporting required for the role, including assist Regional coordinators and Contract stakeholders in compiling reports as required to fulfil the obligations/ requirements agreed upon in service contracts. Receive initial job enquiries, document the enquiry and create contacts.
- Manage the flow of information between the customer, field service supervisor, supplier and other relevant internal parties e.g. finance, and provide regular feedback to managers regarding issues regarding contractors, staff and customers
- Ensure the QA and Customer Service teams are notified of any necessary follow up or review
- Compile job files during the planning stage and obtain all documentation required to perform the works
- Ensure final report is compiled by the supervisor performing the works is completed and submitted to the client in a timely manner.
- Close out each job ensuring all invoicing and necessary paperwork/follow up is complete
- Assist in the review of contract terms
- Actively manage timekeeping inputting into E10, ensuring all hours have been entered by responsible individuals and in accordance with Payroll requirements
What you bring
- Excellent oral, written, interpersonal and negotiation communication skills in order to work with customers, contractors and other personnel on a daily basis
- Demonstrated leadership and customer service skills and abilities
- Ability to take responsibility and expand the role to assist field service performance
- The ability to effectively manage time and priorities is essential
- Excellent record keeping and documentation skills
- Ability to work in a team or individually on multiple concurrent projects.
- Ability to build strong internal and external relationships
- Willingness to learn and undergo job specific training (ex. software/project/sampling)
- Demonstrated ability to deliver in a fast paced, changing environment while maintaining high attention to detail.
- Computer experience using standard MS Office suite of programs is required,
- Experienced utilizing ERP database systems i.e. Pronto, SAP or similar systems.
- Good organisation, multitasking and time management skills that delivers effective planning and housekeeping standards.
