The Rehabilitation Division is an Inpatient Service with Six GMMH wards and four third party partnership collaborations, offering a combination of High Dependency, Open and Step-Down beds. The service providesrecovery focused support to enable service users to develop, enhance and sustain life skills and coping strategies which will enable the individual to achieve greater independence and quality of life.
The Divisional PA will provide a full and comprehensive administrative service to the Senior Management Team, ensuring the most efficient and effective use of resources.
The post holder will be a highly enthusiastic and skilled organiser with a keen eye for detail.

Communication & Leadership Skills
- To line manage admin staff and ensure Trust Policies and Procedures are adhered too. Implement and participate in the appraisal process within the administration team ensuring the Knowledge and Skills Framework. Attend regular administrative meeting to ensure good communication within the Service. Co-operate with the introduction of new technology and in the development of new methods of working as appropriate to your area of responsibility. To take responsibility for own area of work ensuring any areas of concern are raised timely and appropriately. Support service developments relevant to your area of work and assist in change programmes to enhance the service delivered. To provide a personal and confidential service to all senior staff within the directorate, including the typing of reports, general correspondence, minutes, agendas, etc. Interrogate websites to retrieve guidance across a range of key issues pertinent to the work of the management team. Sort and distribute mail effectively and timely. Prepare and collate any team briefs/communication appropriate to the service, ensuring deadlines are met for effective information sharing across the Directorate. Any other duties commensurate to the role. Work collaboratively with other Health & Social Care organisations Maintaining the Directorate Share point site, uploading documents and updating information when requested.
Analysis & Data Management
- To design, create, prepare and produce a range of documents from various sources and to specified deadlines, including all aspect of Microsoft Office i.e. Powerpoint, Excel, Word etc. To ensure all analytical data is presented appropriately when required. To assist in the preparation of reports and the monitoring of action plans for specific projects. To be able to proof-read, format, and amend any reports, presentations, spreadsheets for the management team in readiness for distribution. Manage the Datix Incident Management system with regards to producing reports and uploading documents. To access all Electronic Patient Record (EPR) systems and track paper patient records as per Trust policy including the uploading and scanning of documents. In collaboration with managers/clinicians, ensure all arrangements relating to disciplinary and grievance issues are handled in a sensitive manner. Identify and report any IT related issues using the relevant systems. Maintain the highest standard of confidentiality with regards to information concerning clients/staff at all times.

- Provide cover for colleagues during times of sickness and annual leave. Willing to work within Trust policies, procedures and guidelines.
Health & Safety
- To work and use all equipment in accordance with safe operating procedures and Trust's codes of practice. To report all accidents, incidents and omissions to the manager. To attend all training identified as being appropriate by the line management team.
Freedom To Act
- To support and attend training identified as being appropriate by the line management teams. To work within Trust policies and procedures. To be guided by precedent and occupational procedure. Priorities are set but post holder will manage own workload and work independently.
