Vendor Returns Administrator

To provide a comprehensive return product service to our vendors and to ensure an effective returns service that facilitates business requirements to ensure all returns are processed back to vendor on time and accurately
This role will have exposure to over 100 Vendors within the EMEA region and product awareness and familiarisation is key with vendor contracts to ensue the SLA process is followed from each vendor.
**Role Responsibilities**:
- Ensure stock is counted via SAP and checked before request is made to vendor and discrepancies are raised with the inbound team for justification
- Ensure returns are manged accordingly within vendor SLA and processed accordingly in line with RMA authorisation from vendor ensuring all portals are used correctly and that documentation including declarations and commercial invoices are included as per agreed with vendor communications
- Assist quarterly stock take with Vendor Returns Team Leader and present results to stock control and management team
- Ensure freight is booked accordingly where appropriate and ensure paperwork is signed as proof of collection to assist with credit notes as per attached
- Ensure all freight documentation and paperwork including EORI / VAT and Inco _terms are correct on the time of despatching goods back to the relevant country
- Support Vendor returns TL as requested and undertake any role that will need to be covered outside normal day to day issues
- Attend stock calls when appropriate to highlight bottle necks and issues from vendors only when appropriate
**Additional Responsibilities**:
**Stock Management**
- Investigate missing stock and notify inbound team of discrepancies and check movement types in SAP and report to TL
- Carry out and assist stock takes across monthly and quarterly intervals and support the Co-Ordinator with any other ongoing issues to resolve and prevent adjustments
- Ensure housekeeping measures are in line with company expectations and all logistics movements have been done to ensure stock is in the correct places
**Reporting**
- Present stock errors to Vendor TL and resolve key discrepancies
- Manage all vendor returns into relevant folders in U drive for future reference and disputes with vendors
- Ensure safety is paramount always to all colleagues and visitors entering the warehouse
- Maintain confidentiality on all matters relating to the company, people and operation
**People Development and Training**
- Ensure training in undertaken and documented with the team leader
**Key Performance**:
- Advanced SAP knowledge in all warehouse operations including all movement types and stock holding within returns plants
- Adopts a systematic approach within a warehouse environment
- Adopts a flexible work approach to business requirement and eliminates bottlenecks from work backlog
- Has a can-do attitude and a positive outlook within a team environment

- Commercial awareness within a freight environment
- System orientated with the ability to generate reports using Microsoft Excel
- Super user in Microsoft Excel and SAP but not essential
- Proven history in similar role
