The Sales Administrator will deliver an efficient and effective sales administrative service to various stakeholders, including external customers and internally to the Commercial Sales Team, Procurement Team, Production Planning, Dispatch and Finance. (The role resides within the Finance Department).

The sales administrator is to ensure that Sales orders are correctly recorded in the accounting system and sales volumes are communicated to all relevant teams.

To analyse and communicate relevant operational information (including customer orders, production output, deliveries and invoice volumes) to ensure an effective and efficient supply chain process.

**Key Accountabilities**:
**Process Sales Orders**
- Review and process supermarket orders, received via EDI, into the accounting system
- Enter manual sales orders into accounting system for non-supermarket customers or when EDI fails
- Confirm dispatch volumes to ensure accurate delivery documentation
- Record customer rejections and delivery shortages on accounting system and analyse in Excel
- Follow up on customer shortage deliveries and identify reason for shortage/discrepancy
- Sourcing proof of delivery documentation (POD’s) from customers when required
- Amending orders when required in a timely fashion and advise relevant teams on updates

**Sales Administration**
- Complete haulage Paperwork for new export compliance (following Brexit)
- Update Customer web-portals when required
- Process and communicate customer forecasts daily & weekly, updating relevant systems
- Liaising with Commercial Team regarding new product development (NPD) lines, understanding product delist and new launches (launch dates, recipe, price, units per tray, etc) and on-boarding in accounting system
- Work closely with the sales ledger team to ensure sales invoices are accurately raised
- Any other Ad-hoc duties when required

**Qualifications/ Knowledge & Experience**

**Specific Knowledge & Experience**
- Fluent in spoken and written English to communicate effectively with internal and external stakeholders
- Attention to detail and accurate data recording
- Numerate
- Time management: Accustomed to working under pressure and meeting time critical deadlines
- Demonstrate strong interpersonal skills and confidence
- Knowledge of Microsoft Office, especially Excel
- Experience and confidence in using accounting systems

**Relevant knowledge and experience would be desired but is not essential, including**:

- Knowledge of soft fruit and/or experience of working with perishable (short life) products
- Knowledge of supply chain
- Knowledge of Navision / Microsoft Dynamics
